Pembroke School of Performing Arts is seeking to fill a full-time position for our Office Coordinator / Assistant To The Director. An ideal candidate will present with a smile and a positive attitude consistently. Strong verbal and written communications are a must in interactions with our clients, visitors, vendors, and staff. In addition to organization skills, this person would also have intermediate to proficient desktop publishing skills, and enjoy representing our business across multiple platforms. We are in search of a candidate that works extremely well with others yet is comfortable and capable of working independently!

Pembroke School of Performing Arts is now going into our 38th year and growing. PSPA was established in 1988 with the mission to provide “quality” dance education in a family friendly environment with qualified instructors and proper facilities. We are a full time studio, with diverse offerings year round, continuous contributions to our communities, and believe in seeking continuous improvement opportunities. We offer programs from beginner through professional, child through adult.
Our Mission Statement:
To provide proper dance and theater education, acknowledging that all children (young and old) should have the opportunity to explore the world of performing arts in a positive, safe and friendly environment. We strive to recognize both the recreational and aspiring professional artist and create the learning opportunity for positive growth of individual goals. Pembroke School of Performing Arts promotes the art of dance through programs that provide students the opportunity to explore, discover and dance at a level appropriate for their age, skill and desire, along with scholarship programs for those in true financial need, to share and give back to the larger community.

Responsibilities
- General reception, front and back office duties for small business
- Meet and greet clients & guests, provide accurate and timely information as needed
- Provide general support to clients, vendors, and visitors
- Answer and screen phone calls and emails – timely and accurate follow up & tracking
- Assist with running our Social Media accounts (Including marketing advertising)
- Maintain office operations and procedures
- Maintain clean and neat reception / front office area
- Assist with student enrollment/placement/billing
- Maintain / update student records
- Assist Ordering and tracking of costumes and dancewear
- Create and publish monthly newsletters and other student notifications
- Coordinate with and/or assist Director with:
- Scheduling
- Student Placement
- Event planning and coordination
- Marketing
- Communications
- External / community events
- General admin assistant duties for Director
- Positive, professional attitude, personality, and appearance, focused on positive customer experience in a family-friendly environment
- Minimum of 2 years of experience working in a client facing office setting
- Excellent organizational and multitasking abilities
- Creativity and dance / theatre background would be a plus
- Attention to detail is a must
- Must have working knowledge and skills in Social Media platforms (ie; Facebook, Instagram, etc)
- Excellent written and verbal communications skills
- Basic accounting and accounts receivable knowledge
- Prioritization, problem-solving skills
- Time management skills
- Working knowledge of standard office equipment, duties, and systems
- Intermediate/advanced knowledge of MS office suite (main focus on Excel, Word, Outlook)
- Resourceful and pro-active, ability to think outside of the box
- Desire to contribute to continuous improvement, opportunities to continue to grow business, and advancement
- Discretion as you will be handling confidential information (written and verbal)
- Able to work independently as well as part of a team
- Competitive - Commensurate with experience

- Full time position, some flexibility in setting daily/weekly scheduled hours
