Job Overview:
The Transportation Compliance Assistant will be responsible for assisting in all aspects of the Department of Transportation (DOT) administration and compliance for new and existing drivers and vehicles. This role includes managing driver onboarding, maintaining driver qualification files, and ensuring all compliance-related documents are properly processed and updated.
Duties/Responsibilities:
- Process new driver documentation and ensure Driver Qualification (DQ) files are complete and accurate.
- Verify and document previous employer information for new drivers.
- Maintain and update driver qualification files in compliance with FMCSA regulations.
- Manage expiration data associated with the department (CDL, Medical Examiners Report, Required Training, etc.) in the form of a Driver Expiration Report and communicate the report to all districts.
- Support the onboarding process for both DOT and non-DOT new hires.
- Assist with processing and managing driver qualifications such as drug testing, DOT physicals, Clearinghouse queries, and other DOT-related requirements.
- Handle daily data entry and filing of compliance-related documents and requests, including driver and vehicle records.
- Maintain records for vehicle registrations, licensing, and inspections.
- Monitor the drivers' logging system, reporting any violations to management.
- Adhere to best industry practices
- Perform additional tasks and duties as assigned.
Required Skills/Abilities:
- Intermediate knowledge of DOT regulations, including HAZMAT laws, multi-state transportation rules, and familiarity with the International Registration Plan (IRP) and International Fuel Tax Agreement (IFTA).
- Familiarity with insurance and permit requirements for transportation.
- Ability to multitask and work with strict deadlines.
- Relevant experience in commercial motor vehicle fleet management, transportation, logistics, and DOT compliance or similar roles
- Knowledge of the rules and regulations associated with interstate and intrastate transportation requirements promulgated by the states of operation
- Excellent communication skills, both oral and written
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office equipment.
Education and Experience:
- High school diploma or equivalent; associate’s degree or higher preferred.
- Minimum of 2 years of experience in DOT compliance and fleet maintenance.
- Prior experience in hazardous materials transportation is preferred.
