What are the responsibilities and job description for the Accounts Payable Analyst position at Pend Oreille Public Utility District?
Responsible for processing accounts payable (A/P) invoices submitted to the District for payment, facilitating the invoice approval process, invoicing miscellaneous receivables, and assisting the Finance Department with other general accounting tasks.
- Process accounts payable, including general ledger and work order coding, route and process electronic authorization for payment, substantiate invoice calculations, and perform data entry.
- Schedule wires, upload ACH files, and print checks for mailing.
- Establish new vendors in the A/P system, following the District’s policies and procedures, including timely vendor verification and documentation.
- Annually prepare 1099’s for filing with the Internal Revenue Service.
- Instruct District staff in the invoice approval process and clearly communicate monthly approval deadlines, including reminders, to ensure a timely month-end close.
- Research payment history by work order, general ledger number or vendor for District staff, and troubleshoot purchase order questions.
- Perform Miscellaneous Receivables (MR) tasks, including invoice creation, monthly collections review and MR account reconciliations.
- Minimum 2 – 3 years of applicable experience. Working knowledge of accounting practices and methods required.
- A demonstrated ability to type at 45 wpm and operate 10-key adding machine.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Demonstrated success performing highly detail-oriented tasks.
- Ability to use math and analytical skills to make decisions.
- Intermediate knowledge of Microsoft Excel, Word, and Windows.
- Ability to communicate and work effectively with all levels of the organization and outside vendors, customers, etc.
- Ability to use independent and discretionary judgment; manage confidential information.
