Specific responsibilities include:
- Assisting Executive Director and Associate Director of Publicity
- Providing general administrative support, including coordinating book mailings, processing invoices, maintaining calendars, and filing expense reports, etc.
- Submitting news acquisition details to trade outlets
- Drafting event confirmations and tour schedules for select events and author tours.
- Booking transportation for authors
- Responding to general requests from media, authors, and booksellers.
- Drafting press materials for select titles and seasonal round-ups.
- Communicating between the Marketing, Editorial, Production, and Design departments.
- Maintaining and updating press contact database
- Updating digital database with confirmed media and events for authors
- Performing online research to acquire publicity contacts.
- Attending and assisting with book events in the NYC area.
- Strong interest in publicity and publishing
- Excellent organizational skills and superb attention to detail
- Excellent written and verbal communication skills
- Ability to manage multiple responsibilities in a deadline driven environment
- Strong follow-up skills
- Proven ability to work independently and collaboratively with a team
- Proficiency with Microsoft Word, Excel, PowerPoint and Outlook
