POSITION SUMMARY
This position serves as the shipping and receiving clerk for the college, under Facility Operations. Within established guidelines, independently organizes, prioritizes, and initiates work activities. Decision making authority is limited to choose of appropriate methods or procedures. Guidance is provided in new or unusual situations. Deviation from established methods, procedures, or guidelines requires approval from Director of Facility Operations. Work is periodically reviewed to verify compliance with policies, procedures, and/or standards.
ESSENTIAL FUNCTIONS
Receiving & Shipping 60%
- Receive, move, organize, label, and record shipments; inspect packages and verify condition/quantity.
- Arrange and complete delivery, including coordinating deliveries to all off-site campuses. Store, handle, and deliver perishable/hazardous materials.
- Coordinate returns and report any damages to incoming packages.
Documentation and Paperwork 20%
- Follow required procedures for receipt and delivery documentation of goods, materials, and equipment; keep accurate records of shipments.
- Intake and update Safety data sheets for incoming goods when necessary and data entry in the database.
- Apply equipment tags for incoming inventory assets.
- Work with business office and ctc Link software to complete the documentation process. Learn new computer systems/software and navigate to find necessary information.
- As directed, contribute to departmental physical and digital file organization through organizing, filing, and digitizing.
Process Mail 10%
- Receive, sort, and deliver incoming mail.
- Gather, sort, and post outgoing mail, including coordinating any outgoing special mailings.
- Daily delivery of outgoing mail to the Post Office.
- Create and file postage reports, update and report pricing changes.
Oversee Mailroom. Shipping/Receiving Bay and Copy Centers 5%
- Oversee, stock, and maintain postage/copy machines; organize space effectively and maintain cleanliness.
- Respond to copier service requests and coordinate with copier contract service provider and request service when needed.
- Assign and update copy codes; track and prepare reports on copy counts and usage.
- Assign, label, and issue keys for mailboxes; update and manage mailbox guide.
- Perform periodic inventory of general supplies, paper, ink/toner, mail supplies.
- Maintain general supply inventory and ordering records.
- Distribute toner and other supplies campus wide.
Other Work Activities 5%
- Assist with related duties or special projects as assigned.
- Serve as back up to information Center/Room Scheduling.
- As directed: sort, organize, inventory, dispose of, and auction surplus furniture, equipment, and supplies.
Required knowledge, skills, and abilities:

- Communicate clearly, both orally and in writing. This includes the ability to speak clearly and fully comprehend written and spoken English and to communicate clearly with native and non-native English speakers.
- Understand and clearly communicate college programs and services.
- Follow instructions and established procedures.
- Set and adapt to changing priorities, assess and prioritize problems, exercise independent judgment, handle interruptions, and meet deadlines.
- Maintain paper and electronic records; organize data and information; create and edit documents; Demonstrate good grammar, spelling, editing, and documentation skills.
- Work cooperatively and with minimal supervision in a dynamic working environment.
- Understand and apply basic knowledge of computer hardware and software including Word, Excel, Access, and Outlook.
- Operate in a web environment.
- Perform duties with accuracy and diplomacy.
- Maintain a positive attitude and enthusiasm for the college, the mission of the college, and its students and employees.
Required previous experience:
The level of skill required for this position would typically be acquired in one year of clerical experience or equivalent education/experience.
Required physical abilities:
Sit or stand and perform computer data entry for extended periods of time. Able and willing to move and lift objects up to 60 pounds, work in adverse weather conditions such as rain, snow, and ice.
Required work schedule and work environment:
Monday-Friday; 8am – 5pm (one hour lunch break).
Our work environment is collaborative and on-site at the Port Angles campus, prioritizing face-to-face communication and teamwork.

- Full-Time Classified position.
- Anticipated monthly salary: $2,961.00 - $3,728.00 (DOE)
