Position Title: Division Assistant, Development
PURPOSE OF POSITION:
ESSENTIAL FUNCTIONS/RESPONSIBILITIES/DUTIES:
- Greets, assists, and interacts with sponsors, donors, community members, vendors, and contractors in person, on the phone and via email, and other software programs.
- Represents the District and provides excellent customer service as one of the first points of contact for external customers and community members.
- Provides support for all divisions. Assists with projects as assigned.
- Plan and provide support for development and donor experience functions.
- Assists with PenMet Parks events through all phases of planning to the event.
- Receives guests at event registration table, assisting with name tag preparation and updating database after each event, tour, or donor interaction.
- Assists with marketing, community outreach, sponsorship programs, grant writing and application preparation.
- Manages donor database updates, address and contact changes, mailing lists.
- Assists with organizing and maintaining District data, files, and records in paper and/or electronic formats.
- Retains and archives documents in accordance with applicable retention and destruction requirements and guidelines.
- Enters and verifies numerical data, checks output for accuracy and format, and makes corrections as necessary.
- Composes, prepares, and types a variety of correspondence, memos, reports, donor thank you letters, and other materials.
- Processes incoming and outgoing mail and interoffice mail.
- Develops and maintains effective professional relationships with internal and external customers.
- Takes responsibility and ownership for successfully accomplishing work and the organization’s objectives and delivering results.
- Ensures work is thoughtfully completed, accurate, and error free to the highest degree possible.
- Supports an inclusive work environment that respects diverse ideas, backgrounds, and styles.
- Performs other duties as assigned.
QUALIFICATIONS:
Required Experience:
- Two years of experience in an administrative role and/or a customer service setting.
- Nonprofit fundraising, management, or development experience preferred.
Required Education:
- High School Diploma or GED
Professional Licenses/Certifications: None.

- Performs multiple tasks simultaneously.

- Collaborates and shares responsibility for decisions and monitors progress toward goals by establishing strong feedback channels.
- Ensure work is thoughtfully and professionally completed.
- Assesses situations effectively and takes initiative with minimal supervision.
- Works cooperatively and collaboratively with internal and external colleagues, the Board of Park Commissioners, donors, volunteers, contractors, partners, and the public.
- Possesses excellent written, listening, and verbal communication skills. Produces and delivers professional-quality reports.
- Proficient in donor database management.
- Proficient in Microsoft Office.
- Bloomerang donor database experience preferred.
WORKING CONDITIONS AND PHYSICAL DEMANDS:
- Work is performed primarily in an office setting.
- Prolonged periods of time may be spent using a computer, telephone, and other office equipment.
