Job Purpose:
The Executive Assistant to the Chief Academic Officer works closely with the Chief Academic Officer to support the smooth operation of all functions under the purview of the Chief Academic Officer, with a special emphasis on calendars and scheduling, reports, processing purchase orders, budget accountability, administrative clerical work, communication with families, business and community leaders, communication with academic and non-academic staff, coordination of meetings, special events and activities, and tracking departmental activities.
Essential Duties and Responsibilities:
- Coordinate the development and maintenance of PALCSchool Google Calendars (schoolwide, staff, ALT PTO,) as well as the Chief Academic Officer’s calendar(s).
- Coordinate calendar planning meeting(s) and create templates for draft school year calendars.
- Schedule and coordinate meetings and special events, as directed by the Chief Academic Officer.
- Maintain Academic Leadership Team meeting agendas.
- Create and maintain files and accurate record-keeping systems.
- Order office supplies for the Academic Administration department.
- Make conference and travel arrangements as needed for the Chief Academic Officer.
- Track and approve staff time-off requests through Paycom for ALT and Academic Administration; maintain time-off calendars.
- Oversee Academic Department budgets.
- Track expenditures vs. approved budget via reports from Accounting.
- Share expenditure reports from Accounting with the Academic divisions monthly.
- Process purchase orders to Accounting
- Track Academic Leadership Team benefits.
- Assist the Chief Academic Officer with the implementation of the school’s Comprehensive Plan, including stakeholder meetings and input.
- Oversee the Course Catalog to ensure all edits, new courses, and course drops are included in the next year’s catalog updates.
- Coordinate August Back-to-School Conference and other K-12 school events.
- Other duties as assigned by the Chief Academic Officer.
Qualifications
Education, Certification (if applicable), Experience, Knowledge, Skills, and Abilities
- Bachelor’s Degree, required
- Previous experience in non-profit events organization is a plus
- Proficient in Microsoft Office and Google Suite; Experience in WordPress / Publisher / Outlook a plus
- High degree of organization, both in time and project management
- The ability to communicate effectively by adapting communication styles to a wide variety of audiences
- Ability to correspond quickly and professionally (phone, fax, e-mail) with staff and Executive Leadership
- Ability to plan & coordinate meetings
- Ability to think outside the box when it comes to problem-solving and strategizing
Physical/Mental/Environmental Demands:
- Physical: Normal vision, speech, hearing, walking, sitting, standing, lifting, stooping, bending, grasping, keyboarding, and filing ability
- Mental: Positive attitude, analyzing, problem-solving, decision-making, and writing.
- Environmental: Online, office, blended school environment
- Travel - As needed to support standardized testing and additionally as needed for positional or organizational needs.
- Hybrid Work Eligibility: Yes, as determined by departmental parameters
All PA Leadership Charter School applicants and employees will need to provide Pennsylvania Clearances: Act 34, 114, and 151 upon employment, as well as every five years from the date the previous clearance was obtained.
