Job Overview
Summary / Objective
The Office Manager manages all administrative functions for the dealership. Processes and generates financial data for all dealership departments, which together represent the accurate financial condition of the business office. Provide accurate reporting to the controller and the general manager and is responsible for the effective operations of the business office.
Essential Functions
- Hires, trains, and supervises office personnel
- Analyzes, designs, implements and maintains office operations and procedures
- Assists with completing financial statement monthly according to dealership guidelines and the manufacture's format and time frame
- Reconciles select accounts monthly
- Approves adjustments to receivable accounts
- Ensures all manufacture accounts including warranty claims, rebates, interest, protection, and co-op advertising are current and accurate
- Prints monthly general ledger
- Closes accounting month by processing month-end functions
- Reviews tax reports, tax deposits and tax returns in a timely manner
- Assists in preparation of Month-End Bonus calculations
- Assists in preparation of monthly detailed expense reports
- Participates in the preparation of short- and long-term financial forecasts
- Assists in completion of annual review / audit
- Orders office supplies for all departments
- Provides administrative support to General Manager, CFO, Controller as requested
- Collects timecards, commission reports, bonus information and reviews for accuracy prior to submittal for payment
- Stays abreast of current factory incentives and codes deliveries on dealership computer system accordingly
- Complies information and prepares reports as requested by management
- Cross-trains as a qualified substitute for all business office and accounting functional position
- Maintains a follow-up system that encourages follow through with assigned projects
- Establishes personal performance goals that are consistent with company standards of productivity and devises a strategy to meet those goals
- Understands the terminology of the business and keep abreast of technology changes in products and services
- Knows and understands the federal, state and local requirements which govern the company's business
- Follows all attendance and punctuality standards with adherences to timekeeping standards
- Follows the company Code of Business Ethics and Conduct
- Understands and follows all work rules and procedures and follows lawful directions from Supervisors
- Upholds the company's non-disclosure and confidentiality policies and agreements
- Maintains a professional appearance of self and designated work area in accordance with company policy
- Attends pertinent training
- Attends company meetings as required
- Other duties as assigned

Associate degree or equivalent; and five or more related experience and / or training; or equivalent combination of education and experience

Bachelor's degree or equivalent; and two to four year's related experience and / or training; or equivalent combination of education and experience
