Position: Assistant intellectual property (IP) Administrator
Location: Tampa, FL (Onsite)
Duration: Full-Time
Key Responsibilities
- Maintain and update the IP docketing system for incoming and outgoing filings.
- Correspond with clients and prepare reporting letters.
- Coordinate international IP filings, including instructing and corresponding with foreign counsel.
- Generate IP status reports, attorney dockets, and other necessary reports.
- Manage deadlines related to patents, trademarks, and copyrights.
- Prepare and file applications and maintenance documents with the USPTO and Copyright Office.
- Draft IP assignments, power of attorney documents, and chain-of-title records.
- Prepare patent application information disclosure statements.
- Conduct preliminary trademark clearance searches and review comprehensive search reports.
- Draft initial office action responses and assist in due diligence, ownership searches, and chain-of-title verifications.
- Investigate and prepare specimens of use for trademark filings.
- Provide advanced administrative support to the firm’s IP Administrator and attorneys.
- Investigate potential IP infringements and draft cease and desist letters for attorney review.
- Manage the USPTO deposit account and handle financial transactions related to IP matters.
- Support attorneys in intellectual property dispute proceedings before the USPTO (e.g., TTAB, PTAB) and US federal courts.
Qualifications & Skills
- Education: High school diploma required; associate or bachelor’s degree preferred.
- Experience: Prior experience in an IP role within a law firm or corporate legal department.
Technical Skills:
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Experience with IP docketing systems and prosecution filings.
- Familiarity with patent, trademark, and copyright laws and procedures.
- Knowledge of international IP laws and protocols (e.g., PCT, Madrid).
- Experience with domain name registration and dispute procedures (preferred).
Soft Skills:
- Strong organizational skills with excellent attention to detail.
