TITLE: ADMINISTRATIVE ASSISTANT
QUALIFICATIONS:
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Previous administrative experience in an educational or similar setting is advantageous.
- Proficiency in office software (e.g., Microsoft Office Suite) and general computer skills.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Customer service-oriented with a professional demeanor.
- Attention to detail and the ability to maintain confidentiality.
- Familiarity with school policies and procedures is a plus.
- Ability to work collaboratively with a group.
REPORTS TO: Principal
DESCRIPTION OF DUTIES:
- Office Management:
- Manage and organize office operations to ensure efficiency.
- Maintain and update filing systems, databases, and records.
- Answer and direct phone calls, emails, and inquiries to the appropriate personnel.
- Assist in P-card reconciliation, matching transactions from statements with corresponding receipts, ensuring accuracy, and resolving discrepancies for financial record integrity.
- Communication:
- Facilitate communication between various departments, school staff, parents, and external stakeholders.
- Draft and proofread correspondence, reports, and other documents as needed.
- Disseminate information to staff and stakeholders as directed by supervisors.
- Scheduling and Calendar Management:
- Coordinate and schedule appointments, meetings, and events.
- Maintain calendars for school district administrators and schedule appointments as needed.
- Data Entry and Reporting:
- Input and manage data related to student records, staff information, and other relevant data.
- Generate reports as requested by administrators, ensuring accuracy and timeliness.
- Assistance to School Administrators:
- Provide administrative support to school district administrators, such as the superintendent, principals, and other leaders.
- Assist in preparing materials for meetings and presentations.
- Special Projects:
- Assist with special projects and initiatives as assigned by school district administrators.
- Collaborate with administrative staff to achieve common goals.
- Customer Service:
- Provide excellent customer service to parents, students, and visitors.
- Address inquiries and concerns in a professional and timely manner.
- Technology Proficiency:
- Utilize various software applications and tools for tasks such as word processing, spreadsheet management, and database maintenance.
- Perform other duties as assigned.

TERMS OF EMPLOYMENT:
- 241-Day Contract
- Salary to be established per the Collective Bargaining Agreement
