POSITION SUMMARY :

The Collections Specialist is responsible for the accuracy, distribution, and collection of resident invoices. The role requires a high degree of customer service skills and professional telephone etiquette. It also requires the ability to understand process workflows, and work with a high degree of accuracy against strict deadlines.

MAJOR DUTIES :

PRIMARY RESPONSIBILITIES

  • Responsible for all credit and collections activities; accountable for reducing delinquency for assigned accounts.
  • Client interaction through relationship building, business retention, and collection of money due.
  • Monitor AR aging and customer accounts to minimize past due accounts.
  • Perform customer credit analysis as needed.
  • Initiate collection calls, emails, faxes, and letters.
  • Assist with preparing correspondence, legal documents and other clerical work.
  • Act as mediator in maintaining quality customer service and a positive company image by resolving customer account inquiries.
  • Work with property management on escalating collection actions.
  • Abide by all Federal Fair Credit Reporting Act rules and regulations.
  • Assists in billing, cash receipts and other accounts tasks as needed.
  • Performs other duties as required and assigned.

SECONDARY RESPONSIBILITIES

  • Weekly and monthly reporting to direct supervisor.
  • Monthly delinquency notices.
  • Processing monthly credit memos and the appropriate reporting.
  • High volume phone calls to assigned delinquent accounts.
  • Manage accounts on the collections report.
  • Reconcile account disputes as they pertain to payment of outstanding balances that are due.
  • Provide excellent and considerate customer service.
  • Internal and External customer interface.
  • Participate in team planning meetings.
  • Meet defined department goals and activity metrics.
  • QUALIFICATIONS :

  • AA or BS / BA in Accounting preferred.
  • 2 years of prior high-volume billing and collections experience, preferably in real estate or property management.
  • Sound written and verbal communication skills.
  • Ability to survey and make decisions regarding customer accounts.
  • Experience using accounting software.
  • Excellent math aptitude and problem-solving skills required.
  • Collaborative and team-oriented work style with the ability to work well independently.
  • Strong organizational and time management skills with a high attention to detail.
  • Strong interpersonal and communication skills to successfully interact with multiple constituencies and diverse groups of people.
  • Demonstrate independent, mature judgment; convey a professional image and attitude.
  • PHYSICAL REQUIREMENTS :

  • The physical requirements of this position are related to a standard office environment. Must be able to utilize a phone, computer and screen, and other office equipment. While performing the duties of the job, the employee is required to hear, talk, and sit for the majority of the workday. Occasional standing and walking are recommended.
