Job Summary:
Our Optometric Operations Associate is our patients' welcoming face, ensuring they have a great experience from the moment they arrive until they leave. In this important role, they take care of the front desk, help schedule appointments, answer patient inquiries, check insurance eligibility, and support various administrative tasks to keep our office running smoothly.
Key Responsibilities: Patient Interaction:
- Greet patients warmly upon arrival and create a welcoming atmosphere.
- Collect and verify patient information, including insurance and medical history.
- Assist patients with completing necessary forms and answer any questions.
Insurance Verification & Billing:
- Accurately pull and verify patient insurance eligibility before appointments using insurance portals or phone calls.
- Understand and explain patients’ vision and medical insurance benefits, including copays, deductibles, and coverage for services or products.
- Ensure all insurance information is accurately entered into the system to avoid billing errors.
- Inform patients of out-of-pocket costs and obtain pre-authorizations for specific services, if needed.
- Communicate with insurance companies to resolve eligibility issues or discrepancies.
Scheduling & Communication:
- Schedule and confirm patient appointments using our scheduling software.
- Handle phone calls, emails, and other correspondence in a professional manner.
- Manage appointment reminders and follow-ups to ensure an efficient patient flow.
Administrative Duties:
- Maintain accurate patient records and ensure confidentiality.
- Process patient payments, including co-pays, self-pay, and insurance billing.
- Manage the daily flow of the office, including patient check-ins and check-outs.
Customer Service:
- Address and resolve patient concerns or complaints with professionalism.
- Educate patients on office policies, services, and products, including eyewear and contact lenses.
Collaboration:
- Work closely with leadership, optometrists, technicians, and other staff to ensure smooth operations.
- Assist with inventory management and other office tasks as needed.
Potential Experience with Optometric Technician Duties
While the primary focus of this role is front desk reception and administration, candidates with experience or interest in optometric technician duties may have the opportunity to assist with:
- Pre-Testing & Patient Workups: Performing preliminary tests such as autorefraction, tonometry, visual field screenings, and retinal imaging to assist optometrists in evaluations.
- Contact Lens Training: Educating new contact lens wearers on proper insertion, removal, and care techniques.
- Frame & Lens Assistance: Helping patients select eyewear based on prescriptions, lifestyle needs, and insurance coverage.
- Equipment Maintenance: Ensuring diagnostic tools and pre-testing equipment are clean, calibrated, and ready for use.
- Scribing for Optometrists: Documenting exam findings and assisting with electronic health records during patient visits.
Qualifications:
- High school diploma or equivalent (required).
- Previous experience in a medical or optometry office, especially with insurance verification (preferred).
- Experience with optometric pre-testing or technician duties is a plus.
- Proficiency in using office software, scheduling systems, and insurance portals (e.g., VSP, Eyemed, Spectera, and Medicare).
- Strong organizational skills and attention to detail.
- Excellent communication and interpersonal skills.
- Ability to multitask and remain calm under pressure.
- A friendly, patient-focused attitude with a passion for providing outstanding customer service.
Job Type: Full-time
Pay: $16.00 - $20.00 per hour
Expected hours: 35 – 40 per week
