What are the responsibilities and job description for the Medical Receptionist position at Perma Mental Health PLLC?
The medical receptionist will coordinate the patient’s appointment encounter with the electronic health record and serve as a liaison between the physicians, patients, and various other entities. The medical receptionist must be able to demonstrate familiarity and basic knowledge of varied insurance plans as well as knowledge of medical terminology. One to two years of prior scheduling experience is preferred.
This position includes, but is not limited to, the following essential functions:
- Treat people we serve with dignity and respect.
- Work as a team member with other staff to provide quality service to the people we serve.
- Interact in the community with other agencies, representing the practice.
- Will comply with all HIPAA regulations.
- Will abide by all clinic policies.
- Maintain the organization and operation of the front office, to include but not limited to, greeting clients/visitors, answering phones, scheduling, assist the provider as needed, and data entry.
- Manage the intake process and coordinate treatment appointments.
- Communicate with referral source on patient progress.
- Must maintain electronic filing system in an efficient and orderly manner.
- Complete trainings as identified by the Regional Manager.
- Other duties as assigned.

- Excellent interpersonal, verbal and written communication skills with an advanced ability to communicate professionally and effectively with physicians and administrative staff, patients and representatives of public agencies and businesses.

- Knowledge and experience in intake coordinator functions including, data entry, filing, answering phones, customer service.

- Demonstrate good oral and written skills and abilities for communication and attention to detail.
Schedule:
- 8-hour shift Monday through Friday (subject to change)
Tools and Equipment Requirements:
- The ability to use a phone, computer, printer, and copier is required.
- Frequent use of Google Workspace products such as Gmail, google docs, google sheets, google drive, google calendar.
- The ability to use the internet and various web browser software is required.
Physical Working Conditions and Office Setting Description:
- Requires prolonged sitting, standing, frequent bending, stooping, or stretching.
- Some lifting may be required.
- Frequent and prolonged typing and frequent and prolonged operation of computer, keyboard, and telephones required.
- Requires occasional use of fax machines, telephones, copiers, and other office equipment.
- Employee must regularly lift and/or move up to 10 pounds, frequently lift and/or move up to 25 pounds and occasionally lift and or move up to 50 pounds.
Requirements/Qualifications:
Graduation from high school or GED; some college coursework preferred.
Administration/front office experience in an outpatient/residential health setting preferred.
