Responsibilities
- Greet clients, visitors, and callers with professionalism and courtesy
- Answer and direct phone calls, taking accurate messages when needed
- Schedule and confirm client appointments, ensuring smooth office operations
- Assist with client intake forms and provide general information about the firm’s services
- Maintain organized filing and records, both digital and physical
- Ensure the office remains clean, orderly, and stocked with necessary supplies
- Support legal team with administrative tasks as required (e.g., document preparation, faxing, and mailing)
- Perform other clerical duties as needed to ensure efficient office operation
- Maintain confidentiality of sensitive information in accordance with company policies.
Qualifications
- Professional demeanor and appearance
- Proficiency in proofreading to ensure accuracy in all communications.
- Strong calendar management skills to effectively schedule appointments.
- Solid administrative skills with experience in clerical tasks.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Familiarity with Microsoft Office applications for document creation and management.
- Previous experience as a receptionist is advantageous but not required.
- Bilingual (English/Spanish) candidate is a plus but not required.
- Excellent data entry skills with attention to detail and accuracy.
