Purchasing Assistant, Position Overview
Perry Ellis International is seeking a detail-oriented and proactive Purchasing Assistant to join our team at our Miami, FL headquarters. In this pivotal role, you will provide essential support to our Purchasing Agents, ensuring the smooth and efficient management of purchase orders and related processes. Your strong data entry skills, analytical abilities, and communication prowess will be vital in maintaining accurate records, facilitating vendor communication, and contributing to the overall success of our purchasing operations.
Key Responsibilities
- Order Management & Data Integrity:
- Accurately process and maintain a high volume of purchase orders within Essentus and PLM systems.
- Ensure data accuracy and consistency across all purchase orders, including pricing, sizing, and SKU-level details.
- Proactively identify and rectify data errors to maintain seamless operations across all business units.
- Manage and process intercompany transfer purchase orders for inventory movement to various international locations.
- Vendor Communication & Collaboration:
- Serve as a key point of contact for vendors and factories, facilitating daily communication regarding order fulfillment, shipping schedules, and potential issues.
- Effectively resolve inquiries related to shipping delays, quantity discrepancies, and packing instructions.
- Manage factory and supplier registration and maintain accurate records, coordinating with accounting and compliance teams.
- Sample & Production Support:
- Manage the distribution and tracking of advertising and marketing samples, ensuring accurate records and timely delivery.
- Monitor and follow up on AD samples with vendors, ensuring deadlines are met.
- Assist Purchasing Agents in booking new Merchandise Unit Orders (MUOs).
- Oversee production orders across multiple brands (Golf/OPG), and organize all data within reports and excel/google sheets.
- Link correct PLM packages to each PO and make them available to vendors.
- Reporting & Analysis:
- Generate and analyze purchase data reports to ensure efficient order processing and workflow.
- Utilize Excel/Google Sheets (Pivot Tables, VLOOKUP) to organize and analyze data.
- Request Price Ticket templates for all customer POs to the Sales Team.
- Administrative Support:
- Issue purchase order revisions as needed.
- Provide general administrative support to the purchasing team.
- Required Qualifications:
- Associate's Degree.
- 1-2 years of experience in purchasing.
- Bilingual: English/Spanish.
- Preferred Skills:
- Proficiency in Essentus, PLM, and Business Objective systems.
- Advanced proficiency in Microsoft Excel (including Pivot Tables, VLOOKUP, and report generation) and Google Docs.
- Personal Attributes:
- Excellent verbal and written communication skills.
- Strong interpersonal and customer service skills.
- Exceptional organizational skills and attention to detail.
- Strong analytical and problem-solving abilities.
