What are the responsibilities and job description for the Client Service Representative position at Perrysburg Animal Hospital?
Under direction of the Client Services Supervisor the client services conduct a variety of clerical functions and miscellaneous support, as specified below, relevant to the operation of West Toledo Animal Hospital (WTAH) and Perrysburg Animal Hospital (PAH) and most importantly make a favorable first and last impression on our clients.
Reports to: CSR Supervisor and Practice Manager
Minimum Education: High School Diploma
Experience: Minimum of 2 years working as a receptionist or similar job function
Essential Position Functions & Responsibilities
· Perform clerical work with speed and accuracy
· Use a multiple line telephone
· Ability to greet clients graciously (have knowledge of their needs before they arrive)
· Understand and carry out oral and written directions
· Proficiently handle all forms of money
· Maintain a neat professional appearance
· Maintain a harmonious and cooperative relationship with those contacted in the course of work
· Receive clients as they arrive, establish the purpose of each visit, and notify/inform Doctor/Technician/Assistant of arrival/pick up of client using standardized PAH Procedure.
· Ensures that all clients fill out registration forms completely including referral source and email
· Process paperwork/computer programs for arriving clients/guests
· Gather and process new client and new patient information
· Schedule appointments/reservations
· Maintain computerized files in Cornerstone
· Receive and process payments for services rendered
· Maintain the appearance of the reception area and entrances and the retail area in lobby to make sure it is fully stocked.
· Ensure clients have all meds/products at discharge.
· Checks invoices for accuracy
· Maintain adequate supply of client education material at the front desk i.e. brochures, handouts, etc.
· Promote in-hospital ancillary services such as boarding, grooming, daycare, etc.
· Answer incoming calls
· Promote practice protocols through client education using the appropriate terminology. You must be well-versed in the subjects of parasites, vaccinations, routine surgeries, heartworm and flea prevention, etc.
· Process daily deposits and “end of day”
· Process Care Credit applications and payments as requested by clients or doctors
· Market over the counter pet accessories. You will be required to show knowledge and salesmanship abilities. You must be able to explain and demonstrate products and answer questions.
· Know the fee for routine services so that you can inform clients (including basic estimates for services)
· Know how to correctly explain the value of an estimate
· Always follow proper policies and procedures
