Position Summary:
The Executive Assistant will play a vital role in ensuring seamless coordination and planning across the organization. This individual will be responsible for organizing company-wide meetings, monthly strategy meetings, and maintaining a healthy meeting cadence across all departments. Travel and Education coordination for the organization. Additionally, they will support HR functions, such as HR Administration, assisting with Quarterly Performance Reviews and addressing employee needs related to HR, Team Health and Culture.
The ideal candidate should possess a blend of proactive problem-solving skills, strong organizational capabilities, and the ability to work well under pressure. They will support executives Ashley and Darcy, ensuring alignment with their distinct DISC profiles and working styles. This role also includes managing executive and employee travel logistics.
Key Responsibilities:
- Meeting Coordination & Planning:
- Plan, schedule, and manage logistics for company-wide meetings and monthly strategy sessions.
- Ensure a healthy and efficient meeting cadence throughout the organization.
- Prepare and distribute meeting agendas, minutes, and follow-up action items.
- HR Administrative Support:
- Draft and maintain official company documentation, including employment letters and policies.
- Handle employee-related requests and ensure timely communication regarding HR matters.
- Maintain accurate records in HR systems.
- Travel Coordination:
- Arrange and manage executive and employee travel, including flights, accommodations, and itineraries.
- Ensure travel plans align with budgets and company guidelines.
- Executive Support:
- Act as a liaison and provide administrative support to our CEO, Vice President and CFO, tailoring communication and assistance to their DISC profiles.
- Manage calendars, appointments, and communications for the executives.
- Handle confidential information with discretion.
Qualifications:
- 3 years of experience as an Executive Assistant or similar role.
- Strong organizational and time-management skills with a keen eye for detail.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office, Google Workspace, and project management tools.
- Experience coordinating meetings and managing travel logistics.
- Familiarity with HR processes and documentation is a plus.
- Ability to work across multiple time zones (Eastern and Pacific).
- A pet lover who embodies empathy, enthusiasm, and accountability.
