Overview
The Office Administrator primarily supports the Director of Administration / Chief Compliance Officer (CCO) and tends to payroll, bookkeeping, general ledger, accounts payable/receivable and other important financial related duties. This position also supports company operations by maintaining and supporting facilities, phones, benefits administration, compliance, IT, and alerting management to potential operational issues.
Essential Duties and Responsibilities
- Maintains office services by assisting with office operations and procedures; maintaining corporate filing systems.
- Achieves financial objectives by assisting in preparing an annual budget; scheduling expenditures; preparing payroll; A/P, A/R; identifying variances; responding to corrective actions.
- Provides historical reference by defining procedures for retention, protection, retrieval, transfer, and disposal of corporate records.
- Distributes and compiles surveys on behalf of the firm
- Oversees client invoicing and fee collection.
- Records, classifies, and summarizes financial transactions and events in accordance with Generally Accepted Accounting Principle (GAAP) in Quickbooks.
- Maintains office efficiency by assisting in the implementation of office systems, layouts, and equipment procurement.
- Assists in benefits administration, including group insurance, leave time, and other programs.
- Works with third-party vendors to keep office clean, operational, and running smoothly (g. janitorial staff, machinery upkeep, Fed-Ex, UPS, etc.).
- Assists with day-to-day and periodic operation of the firm’s compliance program.
- Assists employees with basic IT resolutions such as connectivity and hardware resolutions.
- Provides backup to reception functions and coverage.
- Contributes to team effort by accomplishing related results as needed.
- Maintains team approach by assisting and filling in for others.
Prerequisites
Education and Experience
- Associate’s Degree minimum education required. Additional education in Accounting, Finance, Economics, and/or Business preferred. Accounting or bookkeeping certification will be considered as substitute for Associate’s Degree in certain circumstances.
- A minimum of 3 to 5 years progressive professional experience in an area associated with accounting and/or office management duties required.
- Financial Services professional experience strongly preferred.
Skills and Knowledge

- Proficiency in Microsoft Office applications.
- Excellent oral communication skills.
- Ability to take initiative on customer service interactions and special projects.
- Knowledge of suing a variety of computer software applications, especially QuickBooks and Paychex.

- Handle detailed work with high degree of accuracy.
- Explain accounting transactions; resolve accounting issues and discrepancies.
