Job Description
REPORTS TO: Director of Administration
STATUS: This is a full-time non-exempt position
SUMMARY: Provides clerical and receptionist support
STAFF: None
DUTIES AND RESPONSIBILITIES
Answer and route all incoming phone lines, accurately record and distribute telephone messages for the office personnel. Graciously greet business associates and visitors to the office with professionalism and convey the high professional service standards that are the core of Petro Marine Services.
Receive and distribute all office incoming/outgoing mail and distribute other deliveries promptly to the receiving party.
Manage and maintain corporate giveaway merchandise, branded apparel, manage uniform ordering and distribution for all terminal and station locations. Manage physical inventory, track employee apparel budgets, update order forms, review and update uniform policy as needed. Ship and receive packages/boxes, maintain positive relationships with delivery services and vendors.
Works with Director of Administration and owners in coordinating company corporate functions, such as: corporate meetings, holiday gatherings and retirement receptions.
General office duties include maintaining filing systems; ordering of office supplies; running errands; preparing, mailing labels and envelopes; faxing upon request; photocopying; keeping common areas neat and clean and stocked. Other office duties as requested by management.
KNOWLEDGE, SKILLS, AND ABILITIES
The position requires an understanding of Microsoft Suite of products including Outlook, Word, and Excel.
Requires excellent telephone skills including knowledge and experience with multi-line phone systems.
Must have excellent communication skills and be effective in oral and written communication.
Must possess the ability to work independently with minimal oversight to complete assigned duties by target deadlines.
QUALIFICATIONS
Strong administrative experience with demonstrated proficiency in communication-orientated tasks. Must have proven record of consistently providing quality customer service. Motivated, self-starter, looking for the opportunity to grow with a growing company.
Consistent attendance is a requirement of this position in order to facilitate physical receipt and distribution of mail and merchandise, greet visitors, and answer multi-line phone.
Proper grooming and professional appearance conducive to a professional office environment are requirements of this position.
PHYSICAL REQUIREMENTS
LANGUAGE SKILLS
Ability to respond to common inquiries or complaints from employees, customers, or regulatory agencies. Ability to write and effectively communicate utilizing e-mail. Ability to communicate effectively with all employees and facilitate problem resolutions.
PHYSICAL DEMANDS
Individual may need to sit or stand as needed. May require walking primarily on a level surface for periodic periods throughout the day. Reaching above shoulder heights, below the waist or lifting as required to move hardware. Proper lifting techniques required. Must be able to regularly lift 30 – 35 lbs.
WORK ENVIRONMENT
For the most part, exposure is ambient room temperatures, lighting and traditional office equipment as found in a typical office environment.
