What are the responsibilities and job description for the Contract Compliance Representative position at Peyton Resource Group?
Responsibilities:
- Create, implement, and manage supplier contracting activities supporting Procurement categories such as Consulting, Professional Services, Technology (hardware and software licensing), Telecom, etc.
- Analyze data and work with internal stakeholders and Legal to identify and execute contracts for suppliers utilizing the Contract Management system (Coupa).
- Establish and manage supplier contract priorities based on stakeholder feedback and business needs.
- Ensure adherence to supplier contracting policies and work methods.
- Act as liaison between stakeholders, internal departments, Legal, and suppliers.
- Define appropriate commercial terms based on stakeholder input and draft commercial language that mitigates risk in supplier relationships through effective contracts.
- Provide updates and report contract status to stakeholders and management regularly.
- Assist Sourcing and Category Managers with the development of sourcing and contracting strategies and processes for tendering Requests for Proposals (RFPs).
- Review vendor proposals, identify potential risks, and negotiate contracts that result in the best value possible.
- Assist with the contract award process and produce the presentation of award recommendations to stakeholders and management.
- Assist with the development of standardized processes and templates for all contracting efforts.
- Maintain effective communication with all team members.
- Manage contract renewals, supplier notifications, coordination with the purchasing platform, and address purchasing issues from the field.
- Handle contract standard extensions and manage negotiations on contracts requiring terms and conditions changes.
- Support contract amendments, including but not limited to scopes of work and change orders.
- Liaise with the accounts payable team on overdue invoices.
- Route contracts, scopes of work, and change orders in accordance with company procedures.
- Negotiate rebates with major suppliers.
- Support requests for qualifications/proposals for significant procurement events.
- Perform research and data analysis to support negotiations.
- Ensure procurement activities align with company policies.
Experience / Qualifications:
- Procurement contract negotiation and execution experience, preferable in the waste industry.
- 5 years of professional procurement contracting experience.
- Excellent organizational skills, including the ability to organize and maintain a fluid administrative process.
- Excellent written and verbal communication skills.
- Excellent time-management skills.
- Competency in Analytical Problem Solving, Strong Communication, Customer/Stakeholder Relationships, and Technology Expertise.
- Proficient knowledge of Microsoft Office.
Necessary Skills:
- Procurement expertise: Contract management experience; Understanding and experience with RFQ process, familiarity with vendor management, risk management skills.
- Project management skills: Task prioritization, data management and analysis, deadline-driven, attention to detail, problem-solver.
- Negotiation and communication skills: stakeholder communication, contract negotiation experience.
- Self-starter: highly motivated individual who takes initiative without needing constant supervision.
