Position Summary:
The Assistant Commercial Property Manager will support the Commercial Property Management team in overseeing the day-to-day operations of commercial properties. This role ensures that tenants receive exceptional service properties are well maintained, and management goals are achieved. The ideal candidate is detail-oriented, proactive and capable of handling multiple priorities in a fast-paced environment.
Responsibilities:
· Assist in the daily management of commercial properties including office buildings retail spaces and mixed-use developments.
· Coordinate and oversee maintenance requests ensuring timely and satisfactory resolution.
· Conduct regular property inspections to identify maintenance needs and ensure compliance with safety and aesthetic standards.
· Assist in developing and implementing preventative maintenance schedules.
· Serve as a primary point of contact for tenants addressing questions concerns and service requests professionally and promptly.
· Coordinate tenant move-ins and move outs including walkthroughs and inspections.
· Assist with tenant communications such as newsletters updates and notices regarding property operations and policies.
·Assist in preparing annual property budgets including operating and capital expenses.
· Monitor accounts receivable and assist in the follow-up on overdue payments.
· Review vendor invoices for accuracy and submit them for approval.
· Support the collection of necessary documentation for property audits and financial reviews.
· Coordinate vendor services including maintenance landscaping security and janitorial services.
· Assist in obtaining bids and preparing contracts for property related services.
· Monitor vendor performance to ensure compliance with service agreements.
· Maintain accurate and organized property files including leases vendor contracts and maintenance records.
· Assist in preparing reports and meeting agendas and presentations for internal and external stakeholders. Update and manage tenant and vendor contact list.
Qualifications:
· Bachelor's degree in business administration and real estate or related field preferred
· One or more years of experience in commercial property management or a related field
· Ability to handle sensitive information with discretion and maintain confidentiality. Customer service mindset with problem solving capabilities.
· Self-starter who can work individually or as part of a team.
· Proper phone etiquette and customer service skills.
· Ability to maintain a positive attitude.
· Willingness to adapt to the needs of the company.
· Demonstrate timeliness when working on projects and tasks
Technical Requirements:
· Ability to use a computer, tablet & smartphone.
· Knowledge of property management software such as Yardy MRI is a plus.
· Proficiency with Microsoft Office including Teams.
Physical Requirements:
Ability to perform repetitive tasks while sitting for long periods of time.
