Summary : Assist in the overall operation of the Engineering function. Coordinate, administer and report on various engineering programs, system and procedures in accordance with policies, procedures and government laws and regulations. Assist Engineers and Engineering Management in obtaining guest satisfaction and engineering goals by performing clerical and administrative duties relating to engineering, guest and hotel communications. Responds to telephone and in-person inquiries regarding maintenance, hotel information, and guest concerns.
Essential Job Functions : Include the following. Other duties maybe assigned.
- Assisting with payroll
- Assisting with project coordination and management
- Assisting with ordering
- Assisting with creating schedule
- Assisting with inventory organization and management
- Answer phones and ensuring all inquiries are dealt with accurately, timely and in a professional manner (within the same business day or by 10am the next business day).
- Type correspondence, reports and forms as well as prepare simple written correspondence.
- Assist with reception duties : greeting concerned associates and directing to appropriate manager if necessary.
- Professional and positive communication to both guests and fellow associates
- Proficient in Microsoft office products
- Familiar with Birchstreet purchasing system or ability to learn
- Track preventative maintenance and other requests
- Accounting skills; multi-tasking
- Monthly closing of all accounts
- Track budget and reforecast expenses weekly; ProfitSage
Other Responsibilities :
Language Skills : Excellent verbal communication skills. Ability to communicate and work well with fellow employees and maintain a presentable appearance, behavior and manner at all times. Ability to manage multiple tasks effectively.
Reasoning Ability : Ability to apply commonsense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.
Physical Demands : While performing the duties of this job, the employee will be sitting for extended periods of time entering data into the computer system. Might regularly stand, walk, and talk. The employee frequently is required to use hands to grab, move, lift, or feel objects, and use telephone and copier machine.
