Who are we looking for?
The Director of Client Services plays a critical role in ensuring smooth, seamless experiences for our clients and team of agents. This person is responsible for overseeing and executing all aspects of listing and transaction management for our Milwaukee-based sales team, ensuring that buyers and sellers navigate the pre-listing-to-listing and contract-to-close period with ease. They are the go-to person for in-person needs at our Whitefish Bay office and serve as the point person for all PHG Wisconsin events, helping to plan, manage, and execute successful gatherings that strengthen our brand and community.

The Director of Client Services is deeply committed to supporting both the Administrative and Sales arms of our business, ensuring our growing team continues to operate at peak performance. As PHG expands, this person will play a key role in hiring, training, and leading additional team members, ensuring that all client service, transaction, and operational tasks are executed to the highest standards with maximum efficiency.
What will you do?

Listing and Transaction Management:
- Oversee listing and transaction management for the Milwaukee-based sales team.
- Provide proactive support to agents by ensuring they have the materials, information, and resources needed to effectively serve their clients.
- Ensure a smooth and timely pre-listing-to-listing and contract-to-close process for sellers and buyers.
- Communicate next steps clearly with clients to keep them informed and confident throughout their listing and transaction.
- Coordinate with cooperating brokers, lenders, title companies, and all relevant parties to facilitate a successful closing.
- Upload all paperwork electronically and ensure all documents are executed by their deadlines.
- Work with our office’s Managing Broker on file compliance.
- Complete commission paperwork to ensure proper agent payments.
- Keep the lead agent informed regarding any problems or issues that need attention.
Event Coordination & Office Management:
- Serve as the point person for all PHG Wisconsin events, overseeing event planning, coordination, and execution.
- Manage event logistics, vendor communication, and on-site setup to create seamless, engaging client experiences.
- Be the in-person resource for all office-related needs, ensuring smooth day-to-day operations at the PHG Whitefish Bay office.
- Maintain an organized, efficient office environment to support the sales and administrative teams.
Essential duties and responsibilities:
- Develop, implement, and manage systems to improve efficiency in transactions, listings, and office operations.
- Oversee the pre-listing-to-listing and contract-to-close process for all Wisconsin (Milwaukee, Wauwatosa, Madison, Waupaca, etc.) real estate transactions.
- Keep all team members informed of listing and transaction statuses and ensure clear communication with clients, lenders, and title companies.
- Provide exceptional service through daily communication and proactive problem-solving.
