PHI Decks, one of the Twin Cities' top professional deck builders, is looking for a highly organized, detail-oriented Office Administrator to join our team! This role is essential in supporting both our sales and operations teams while ensuring smooth office operations and excellent customer communication.

About the Role:
As an Office Administrator, you will be responsible for managing day-to-day office functions, assisting with contracts and invoicing, coordinating customer communications, and maintaining important company processes. You’ll also play a key role in organizing project documentation, supporting marketing efforts, and contributing to the company’s continued growth.
Key Responsibilities:
- Assist the sales team in creating and finalizing contracts with customers.
- Manage the customer lead database and track progress from initial inquiry through project completion.
- Monitor and respond to company voicemails to ensure timely customer communication.
- Register customer warranties and maintain accurate documentation.
- Maintain office supplies and ensure a clean, organized workspace.
- Coordinate photoshoots for completed projects and update the company website with new project images.
- Manage Instagram posts and weekly social media updates to showcase projects and company news.
- Complete onboarding documents for new hires and assist with the hiring process.
- Provide support with various office tasks and special projects as needed.
What We’re Looking For:
- Strong organizational and multitasking skills with keen attention to detail.
- Proficiency in Microsoft Office, QuickBooks (or similar accounting software).
- Experience in administrative roles, preferably in construction or a related field.
- Excellent communication and customer service skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Familiarity with social media platforms (Instagram) and website content management systems (CMS) is a plus!
