Position Overview
Reporting to the Director of Revenue Projects, Venue Sales Manager for Revenue Projects manages the design, implementation, and supervision of museum facility rental events. Current events in this portfolio include corporate events, non-profit partnerships, private functions, weddings, fundraisers, and museum-sponsored events, with opportunities to expand. The Manager leads a cross-departmental event implementation team for rental events and provides support for museum events and programs as assigned. Thinking like a hospitality professional, the Manager works to elevate Philbrook’s excellent reputation for customer service, and will have a passion for special event management and the ability to build relationships with internal and external customers. This position includes supervisory responsibility for the Venue Sales Coordinator.
Essential Responsibilities
Leadership & Management:
- Develop sales goals/strategy and implement policies and procedures for high-end private and corporate rental program
- Develop rate structures and standard contracts
- Work with Marketing and Communications department to generate awareness and earned revenue through the program
- Develop and manage annual budget and revenue goal and oversee revenue tracking
- Provide training, oversight and direct management of the Venue Sales Coordinator
Project Management:
- Manage facility rental events with support from cross-departmental and execution team
- Ensure event details are published and available to frontline teams
- Provide general event consulting to staff leads including timeline and diagram assistance
- Provide support for museum special events as assigned, including but not limited to Revenue Projects and Development Departments
Relationship Management & Event Implementation:
- Develop vendor, planner, community and corporate relationships and keep them informed of offerings
- Solicit feedback on Philbrook events from Vendors to continually evolve rental offerings
- Evaluate the quality of events via client satisfaction surveys
- Offer onboarding and basic event planning training to cross departmental leads in the museum
- Attend events, greet patrons and represent the museum to ensure museum policies are enforced and event plans are implemented
- Act as the sales contact for the client ($2,000 bookings and up) and communicate with onsite Operations and Banquet lead staff for any adjustments or customer service needs during events
- Build strong relationships with colleagues across the institution by communicating proactively and maintaining a professional demeanor and positive attitude
Research & Analysis –
- Develop and manage monthly sales goals and reporting systems to reflect progress toward annual budget
- Conduct research and site visits to understand market competition
Requirements
Equivalent Education/Experience
- Bachelors’ degree in Hotel/Hospitality Management, Marketing, or related field of study, or an equivalent combination of education, training and experience is required
- Minimum 3 years’ experience in event management, sales, wedding industry, catering, or hotel operations.
- Minimum 1 year supervisory experience
Knowledge/Skill/Ability
- Strong ability to build relationships and establish rapport with Event clients
- Develop and execute strategies for successful facility rental events and monitor annual budget requirements
- Generate interest and market the organization’s Event venues
- Ability to make decisions at museum-wide events using proper judgment
- Must possess excellent organizational and communication skills
- Ability to oversee and motivate staff
- Intermediate computer skills
