What are the responsibilities and job description for the Gift Processing Coordinator position at Phillips Academy?
Phillips Academy seeks a full-time Contribution Coordinator/Gift Processing Coordinator which is an integral member of the Information Services team in the Office of Academy Resources. The position reports to the Director of Advancement Services and works collaboratively as a member of the Office of Academy Resources.
The Contribution Coordinator is responsible for:
- Entering all gifts and pledges accurately and efficiently (ensuring compliance to IRS regulations) from a variety of sources
- Processing gift refunds and adjustments
- Processing receipts
- Preparing the daily deposit of checks
- Assisting with reconciliation and having backup information scanned and readily available for auditors
- Customer service to resolve any inquires donors may have about their gifts
- Working with team members to collect and enter missing biographical data from incoming mail and other sources
- Assist with special data clean-up projects and other duties as assigned
Knowledge, Skills and Abilities Required:
Strong database management skills and commitment to customer service; excellent attention to detail in writing and database management, communication, and organizational skills; ability to stay calm under pressure of deadlines. Microsoft Office Skills (Word, Excel, Outlook, Teams) and other computer programs. Respect the confidential nature of the work. Ability to work independently and use good judgement in performing all responsibilities. Must have a strong work ethic. Commitment and ability to articulate the mission of Phillips Academy.
Education/Experience:
~Database management experience using Agilon, Blackbaud, or Salesforce experience a plus
~Experience in nonprofit fundraising preferred
~A minimum of three years' experience in an executive-administrative position, preferably in an educational environment or related relevant experience
~Proficiency in Microsoft Office (Word, Excel, Outlook, Teams)
~Strong mathematical skills and the ability to proof one’s own work to ensure accurate entries
~Excellent verbal and written communications skills with a strong commitment to customer service
~Desire to learn, apply, and retain complex processes and procedures
~Occasional evening and weekend work may be required to meet deadlines as well as to collaborate with OAR colleagues to serve our campus, alumni, and parent constituencies
~Additional hours may be required during calendar and fiscal year-end busy times in December and June. Some minimal overtime may be necessary during these peak periods.
This is a Hybrid position which allows up to 2 days remote work, once training is complete.
