Phipps Houses is one of the nation's oldest and largest not-for-profit developer / owners of affordable housing. It is a multi-faceted real estate organization, involved in the development, finance, construction and asset management of new and rehabilitated multi-family housing for low to middle income New Yorkers. Through its subsidiary, Phipps Houses Services, Inc., it conducts residential and some commercial property management, and it's tax exempt affiliate, Phipps Neighborhoods, provides human services to its development communities.
Salary Range : $75,000 to $80,000 and is based on level of education, training and experience. This position is eligible for an annual discretionary bonus.
Position Summary :
The Senior Payroll Coordinator will be part of the Payroll team consisting of the Payroll Manager, Senior Payroll Coordinator and Payroll Coordinators assisting in the processing of weekly payrolls for staff of 600 in multiple legal entities throughout the organization. The position requires working cohesively with other departments and managers throughout the organization to ensure timely and accurate processing of payroll each week. In addition, the Senior Payroll Coordinator will work closely with the Payroll Manager and HR Team to provide support with all things payroll related for our employees.
Essential Duties and Responsibilities include the following. Other duties may be assigned to meet business needs.
Accurately process and validate weekly payroll and timesheet data entry for multiple payrolls for 600 union and non-union employees using UKG (Ultipro) Payroll / HRIS system and UKG Ready automated time and attendance system.
Address payroll and timesheet questions from department managers and supervisors
Resolve any issues that may arise and continuously look for improvements in the payroll operational processes, collaborating with the Payroll Manager to implement those improvements
Back-up for Payroll Manager in processing weekly general ledger files and submitting to Accounting for funding
Reconciles 401K upload files and ensures timely submission
Process Health Savings Account upload files
Run reports for transit and flexible spending accounts for uploads
Assist with resetting employee passwords for UKG system
Correct payroll discrepancies, inspect automated system output such as registers and standard reports
Generating special reports and queries using IBM Cognos Business Intelligence Report system
Assist Payroll Manager with year-end payroll processing, including the balancing, review and adjustment of W-2's
Assist Payroll Manager and HR Department with special projects to meet business needs
Assist with audit requests from internal and external auditors
Qualification / requirement
Minimum 4 years web based Payroll experience, with 2 or more years using Ultimate Software UKG Payroll / HRIS system and UKG Ready Time and Attendance system
Must maintain current knowledge of applicable state and federal wage and hour laws
Strong MS Office Skills (Word, Excel, etc) is essential
Clear written and verbal communications

Experience / Training
College degree and three or more years related experience and / or training preferred; or equivalent combination of education (minimum High School or GED) and experience.
UKG (Ultimate Software) web based Payroll / HRIS system experience strongly preferred
