What are the responsibilities and job description for the Office Administrator position at Phoenix Staging + Design?
About Us
We’re two powerhouse home staging companies — Staged Above and Phoenix Staging Design — partnering to provide high-end, transformative staging services across Northern Virginia and Maryland. With hundreds of homes styled and sold, our mission is simple: create spaces that sell faster and for more.
We’re looking for a rockstar Office Administrator who thrives on organization, can juggle multiple tasks across both companies, and brings a positive, can-do energy to the team. If you love checklists, color-coded calendars, and a fast-paced environment with a creative edge — we want you.
Your Role
You'll be the backbone of our day-to-day operations, helping keep our teams running smoothly behind the scenes. From scheduling and logistics to customer communication and vendor coordination, your job is to make sure nothing falls through the cracks.
Key Responsibilities:
Administrative & Client Coordination
- Manage email inboxes and daily calendars for both companies
- Schedule consultations, stagings, de-stagings, and team meetings
- Respond to client inquiries promptly and professionally
- Draft and manage contracts, proposals, and invoices
Project & Logistics Support
- Coordinate install and pickup logistics with the design and warehouse teams
- Maintain and update client files, checklists, and internal systems
- Track project timelines and ensure follow-up tasks are completed
- Order office supplies and help manage warehouse materials as needed
Office Operations & Growth Support
- Maintain internal SOPs and operational workflows
- Assist with marketing tasks like testimonial gathering or social media scheduling (optional)
- Support hiring efforts and onboarding documentation as needed
- Help plan team events or occasional client gifting
What We’re Looking For
- Experience in an administrative, coordinator, or operations role (bonus if in real estate or staging!)
- Highly organized with sharp attention to detail
- Strong communication skills (written and verbal)
- Comfortable using (or learning) tools like Google Workspace, QuickBooks, Canva, and Trello
- Self-starter who works well independently and with a small team
- Reliable, upbeat, and solutions-focused — you keep calm and get things done
Perks
- Flexible hybrid schedule
- Supportive, women-led, high-energy work culture
- Growth potential as the companies expand
- Occasional coffee runs, office snacks, and team fun encouraged
