What are the responsibilities and job description for the Patient Access Representative position at Physical & Sports Rehabilitation?
Small multi-provider clinic seeking an experienced front office team member to join our administrative department.
To be considered for the role of Patient Access Representative you must have experience in verifying health insurance and benefits, with a clear understanding in deciphering and communicating patient responsibility e.g: deductibles, co-payments and coinsurance etc. Prior-authorization knowledge is a plus.
In order for you to be successful this role requires a strong ability to multi-task, prioritize and be detail oriented. The ideal candidate will have great work ethic, great customer service and be able to work a mix of opening and closing shifts throughout the 5-day week.
Hours are 35-40 hour/week with a set schedule during the practice hours; Monday-Thursday 7am- 7:30pm, Friday 7am-6pm. Pay range between $19-$21/hr, commensurate with experience.

This role will report directly to the Office Manager.
Duties include:
- Greet patients/visitors professionally and in a courteous manner, assisting with questions or concerns.
- Demonstrate compassion and sensitivity during patient interactions.
- Answer calls on a multi-line system in a timely manner, assessing the caller’s needs and forwarding clear and concise detailed messages to the appropriate personnel.
- Prepare and/or update patient information, accounts and charts; verifying insurance coverage and benefits understanding the terminology used; communicating benefit changes to the patient.
- Checking in patients, collecting, posting and reconciling payments before end of shift.
- Scheduling and confirming appointments, following up on appointments missed or canceled.
- Review provider schedules frequently and calling patients on the wait list when an appointment becomes available.
- Collect/research patient information pertaining to new referrals, handling ALL confidential information with discretion.
- Frequently contacting providers for scripts/medical records.
- Prepare and send medical records.
- Assist administrative staff/Office Manager with other tasks, when time allows or is delegated.
- Lead/manage assigned projects, with Office Manager's support.
- Maintain/oversee organization and cleanliness of clinic.
- Keep inventory of office supplies and clinical stock.
- Daily use of Microsoft Office (Word, Excel and Outlook) and medical practice management software.
Requirements:
- Experience in medical administrative support involving direct patient contact.
- Extensive experience in verifying health insurance and benefits online or via phone, and understanding patient responsibility terminology.
- Skills; listening, multi-tasking, prioritizing, problem-solving, attention-to-detail.
- Use of Microsoft Office and office equipment, such as, printer/fax/scanners etc.
- Be able to work in a shared space.
- Be able to work as part of a team or independently.
- Have reliable transportation.
- Be able to work a mix of opening and closing shifts.
- Some flexibility to cover shifts if needs arise.
- High School Diploma/GED required.
- Associate’s preferred.
