Description
Position Purpose: This position is responsible for the preparation of incoming documents for scanning operations, such as claims, medical records and adjustments, according to established schedules and procedures. This position is responsible for creating batches, maintaining reconciliation logs and operating scanning equipment. Indexes all scanned documentation, verifying imperfections in the data. Classifies claims according to scanning requirements. Reviews and enters claims in a timely and accurate manner.
Primary Responsibilities:
- Ensures that Claims mail is sorted by scannable and non-scannable standards. Non-scannable claims are counted, recorded and batched for manual input, while scannable claims are prepped, batched and scanned.
- Verifies accuracy of scanned claims prior to acceptance into the ComCom system, thus ensuring accurate claim payment to our members and providers.
- Maintains accurate claim log records for scanned claims.
- Prepares end-of-month reporting regarding scanning activity for invoice reconciliation
- Responsible for reviewing all audit questions. Responsible for completing all end-of-month processes.
- Enters medical, dental and/or UB claims through an online system.
- Performs EDI claims data validation by correctly matching member/provider to the EDI file.
- Maintains consistent turnaround time and quality standards for claims data entry.
- Maintains departmental standards relative to accuracy and turnaround time. Works in an individual and team environment to ensure state and federal clean-claim and prompt-pay laws are adhered to.
- Prepares paper documents for scanning by removing foreign materials.
- Performs batch reconciliation, ensuring accurate count of documents, logs and batches.
- Utilizes the scanning software to accurately index scanned documents, thus ensuring easy retrieval. Failure to accurately index documents can result in a loss of the document.
- Troubleshoots scanning operations to include deletion and renaming functions, page addendums and duplicate investigations.
- Conducts routine audits of documents scanned by other individuals, ensuring data image quality, correct indexing, and that documents are scanned into the correct application.
Qualifications
Experience: A High School Diploma or equivalent. Two or more (2 ) years of clerical support or general office experience with computer proficiency. Knowledge of scanning operations a plus.
Critical Required Skills:
- Commitment to accuracy and attention to detail, especially while indexing documents and reconciling counts.
- The ability to quickly and efficiently sort and organize large volumes of paper, paying close attention to detail, type of document and claims’ suitability for scanning operations.
- Ability to manage multiple scanning jobs, recognizing the parameters, requirements and application needed to complete each job correctly.
- Ability to self-manage, prioritize, and meet specific deadlines.
- Must be able to work well independently and in a team atmosphere.
- Knowledge of scanning hardware and computer software equipment, and PC/software programs (e.g., Word, Outlook, etc.) for forms and document generation.
- Typing speed of 35-40 wpm.
- Accurate 10-key and data entry skills.
- An understanding of general clerical duties (e.g., alphabetizing, numbering systems, labeling, filing).
- The ability to handle multiple responsibilities of differing analytical levels.
- Must possess a strong customer service mentality with corresponding ability to perform well under pressure when handling sensitive customer requests and distressed and/or irate customers.
- The manual dexterity needed to operate scanning, mail and telephonic equipment.
