This individual will play a crucial role in handling various administrative and travel-related tasks to support our operations.

Job Responsibilities :

As a Sales Assistant at PhysiciansPRN, you will be responsible for a wide range of administrative, travel, and client management tasks, including :

  • Booking Travel : Coordinate and book travel arrangements (flights, accommodations, etc.) for team members and clients.
  • Creating Travel Itineraries : Prepare detailed travel itineraries for team members and clients, ensuring all logistics are accurate and up to date.
  • Amex Reconciliation : Reconcile American Express statements for travel and business-related expenses, ensuring proper documentation and adherence to company policies.
  • Timesheet Management : Retrieve and manage timesheets, including data entry, approval processes, and regular follow-ups.
  • Confirmation Letters : Draft and send professional confirmation letters to clients and candidates.
  • CRM Updates : Ensure the CRM schedule is kept current based on confirmation letters and follow-up activities.
  • Agreements Creation : Draft and send client and candidate agreements to ensure all legal documentation is accurate and timely.
  • Data Entry : Accurately enter data from various lead sources into the CRM system, ensuring records are complete and up to date.
  • Contact Validation : Validate phone numbers and email addresses for accuracy and completeness in CRM records.
  • Physician Outreach : Reach out to physicians to schedule calls with recruiters, maintaining a professional and courteous demeanor.

Skills and Qualifications :

  • Experience in administrative, travel coordination, or sales support roles.
  • Strong organizational and multitasking skills with attention to detail.
  • Proficient in Microsoft Office Suite (Excel, Word, Outlook).
  • Experience with CRM systems (Salesforce, HubSpot, or similar) preferred.
  • Familiarity with Amex reconciliation and timesheet management is a plus.
  • Excellent written and verbal communication skills.
  • Ability to prioritize and manage a variety of tasks and projects simultaneously.
  • Strong interpersonal skills and ability to work effectively in a team environment.
