About This Role
We’re hiring a Client Services Representative (CSR)Front Desk Administration role to join our in-person team in Conroe, TX. This role is central to the success of our practice—supporting scheduling, lead follow-up, and front desk operations to ensure every client feels welcomed, cared for, and confident in their decision to choose us.
You’ll be at the front lines of delivering an experience that aligns with our values: calming, clear, client-first, and never rushed. This role is ideal for someone who has previously run point in a front office or client-facing operations role—whether in healthcare, law, high-end hospitality, or fitness.

Key Responsibilities
✅ System Support & Clinic Flow
- Monitor and organize office supplies, intake forms, recovery tools
- Maintain charts, invoices, and intake documents in IntakeQ
- Tag and organize lead statuses in IntakeQ and GoHighLevel
- Participate in marketing events or internal campaigns as needed
✅ Client Experience
- Greet clients with calm, professional energy
- Ensure the clinic environment stays clean, welcoming, and organized
- Maintain a consistent rhythm of client flow and on-time appointments
- Make sure every person who walks in knows they made the right choice
✅ Scheduling & Communication
- Book new clients and manage follow-up texts/calls
- Confirm appointments, reschedule clients, and support calendar flow
- Log activity in our EMR (IntakeQ) and CRM (GoHighLevel)
- Keep Google Calendar and spreadsheets updated for visibility across the team
✅ Sales Support & Lead Nurture for a growing team
- Follow up with new leads via phone/text/email using conversational sales
- Convert paid evals and consults into full treatment plans
- Track leads in GoHighLevel and the Lead Tracker with full accuracy
- Support marketing campaigns and follow-up sequences in both CRM & FloDesk
Tools You’ll Use Regularly
- Google Workspace (Calendar, Docs, Sheets, Gmail)
- IntakeQ (EMR system)
- GoHighLevel (CRM & marketing automation)
- OpenPhone (VOiP phone app)
- Asana (task and project tracking)
Work Schedule & Compensation
- Full-time, in-person only (this is not a remote or time flex position)
- Monday–Friday, 8:00 AM–5:00 PM
- One-hour lunch from 12:00–1:00 PM
- $18–$26/hour depending on experience and performance
- Onboarding pay typically starts $4–$5/hour below target salary with review at 90 days
