Job Overview:

We need an enthusiastic and detail-oriented Administrative Assistant to support the daily operations of our physical therapy clinic. The ideal candidate is comfortable with technology, excellent at customer service, and skilled at guiding patients toward self-pay treatment packages. Additionally, they should be able to assist patients with basic exercises under the direction of the physical therapist.

Key Responsibilities:

  • Front Desk & Patient Experience: Greet patients warmly, schedule appointments, manage phone calls, and ensure a seamless check-in/check-out process.
  • Technology & Systems Management: Utilize clinic software (EMR, scheduling platforms, payment systems) efficiently and troubleshoot minor tech issues.
  • Patient Conversion & Sales: Educate patients on the benefits of our care and discuss insurance vs. self -pay packages and confidently guide them toward treatment options that fit their needs.
  • Exercise Assistance: At times, work directly with patients to guide them through prescribed exercises as instructed by the physical therapist, ensuring proper form and safety.
  • Administrative Support: Manage patient records, insurance verifications (if applicable), and general office tasks.
  • Marketing & Community Engagement: Assist with email campaigns, social media updates, and patient outreach to boost engagement and retention.

Qualifications & Skills:

  • Prior experience in a medical, therapy, or fitness setting preferred but not required.
  • Comfortable assisting patients with basic exercises and following therapist instructions.
  • Strong communication and sales skills – ability to build trust and convert inquiries into paying patients.
  • Tech-savvy – comfortable learning and using new software, troubleshooting minor issues.
  • Friendly, professional, and proactive in problem-solving.
  • Highly organized and detail oriented.
