WORK SCHEDULE:
- Monday through Friday, 8:00 am-5:00 pm
- The position covers two different offices, one in Woonsocket the other in Pawtucket. The schedule between the two offices may vary based on the needs and volume on any given week, however generally, plan for 3 days at one location and 2 days at the other
The Administrative Assistant is responsible for supporting the Property Manager in maintaining the administrative functions and to act as a management representative by providing excellent customer service.
JOB RESPONSIBILITIES:
- Provide excellent and responsive customer service
- Participate in all routine office related tasks such as answering telephone calls, responding to voice mails / e-mails, processing resident service requests and making satisfaction call backs in a professional and timely fashion
- Prepare, review and organizelease documentsand certifications for adherence to therental subsidyprogramand property policies
- Process all resident applications and manage waiting list record keeping in accordance in program regulations
- Promptly process all incoming rent payments and participate in rent collection efforts such as making collections phone calls, sending notices and reporting status to management
- Participate in the processing of property invoices / accounts payable including coding purchase orders and posting invoices in accounting software
- Participate in ensuring standards for curb appeal as well as reporting safety issues, injuries orany observed potential hazards to the management
- Assist theProperty Manager to communicate rules and regulations consistent with the lease agreement.
- Assist in preparing documents related to legal matters as directed by the Property Manager
- Actively participate in the management of the apartment turnover process bycommunicating with team members and outside contractors to ensure efficiency
- Participate in Fair Housing/ADA-504 training and any other industry related training as requested by the organization
- Strive for constant and continual professional growth and development toenhance skills for the betterment of the team and company at large
- Bi-lingual (English / Spanish) ispreferred
- College degree is preferred
- Strong work ethic with a willingness to learn and be part of a team of professionals
- Attention to detail and problem-solving skills
- Ability to remain calm and professional during challenging interactions
- Excellent time management skills and ability to prioritize work
- Excellent written and verbal communication skills including deescalation techniques
- Proficiency in Microsoft Office-Outlook, Word, Excel
- Creative mindset
- Positive attitude with a high level of energy
- Ability to work on projects independently
- Starting hourly rate $24
