What are the responsibilities and job description for the Assistant Director for Financial Services position at Piedmont Virginia Community College?
Purpose: Reporting to the Director of Financial Services, this position performs financial reporting and analysis for major College funds (Education & General, Workforce Development) and supports financial accounting for the Piedmont Virginia Community College Educational Foundation, a 501 © (3) foundation with more than $30 million in assets. The position works within the Business Office and with multiple systems to extract data and provide reports and analysis for monitoring and decision-making. This includes validating data from the Peoplesoft Accounting Financial module of AIS/General ledger, Financial Edge within the Foundation’s accounting system, working with Human Resources and the Cardinal system for payroll data, and with the Student Information System (SIS).
Duties and Responsibilities:
- Provides support to the Piedmont Virginia Community College Educational Foundation by maintaining and managing all financial accounting for the Foundation. This includes appropriately accounting for any grants or contracts administered by the Foundation to ensure accountability to private donors, state, and federal funding agencies.
- Works closely with the Vice President of Institutional Advancement & Development and other Institutional Advancement staff to develop monthly and quarterly financial reports utilizing Blackbaud Financial Edge and other software for monitoring Foundation funds, and to ensure that cash flow needs are met while safely optimizing potential portfolio growth.
- Performs monthly reconciliations between Raisers Edge and Financial Edge modules within Blackbaud to ensure accuracy of fund designations and accurate accounting of any and all gifts.
- Prepares year-end financials and all audit schedules. Responds to questions from Foundation Auditors.
- Collaborates with Financial Aid staff to ensure timeliness and accuracy of students’ Foundation scholarship information.
- Works closely with the Vice President of Institutional Advancement & Development and other Institutional Advancement staff to ensure appropriate financial reports are made available to the board on a timely basis.
- Works closely with the Vice President of Institutional Advancement & Development and other Institutional Advancement staff to develop customized statements for donors contributing to endowments, scholarships, and other restricted funds.
Support for Workforce Development Services
- Serves as the primary fiscal agent in support of Workforce Development. In addition to preparing monthly budget reports, monitors the State Council of Higher Education for Virginia (SCHEV) receivables for Workforce student grades and credentials and works with WFS staff to ensure necessary information is recorded accurately to receive funds.
Working with all other College Funds
- Works with the Director of Financial Services to prepare financial reports for all College funds, including preparing quarterly budget to actuals of the Education and General Fund, monthly reports for Workforce Development, and other funds as required.
- Reviews financial processes for efficiency and effectiveness and recommends and implements improvements. Employs technology to automate processes and reduce manual steps.
- Within AIS, works to define, create and make information available to the college via queries or reports. Employs advanced functionality of Microsoft Suite applications (Excel, PowerBI, PowerPoint) to present financial data in ways that best communicate it and enhance end-users understanding of College finances.
- Develops control systems to assure policies and procedures for all accounting systems are implemented, documented, and accurate.
- Participates with testing activities when AIS business processes are changed or updated as required to meet additional policy requirements, new functions, and software changes.
- Identifies alternatives and proposes changes that improve quality and efficiency.
- Prepares year-end accounting schedules for the college’s financial statement submission to the VCCS. Assists the Director of Financial Services with other financial schedules, as needed.
- Ensures expenditures are coded properly for financial reporting accuracy.
- Other duties: Serves as back-up to the Director of Financial Services as necessary.

- Knowledge of generally accepted accounting principles and practices.
- Working knowledge of automated accounting system process/general ledger transactions.

- Knowledge of Blackbaud Financial Edge or other foundation accounting system preferred.
- Work experience in higher education/community colleges
- Work experience in Foundations
- Additional education, preferably in finance, business administration, or a related field
