At Piedra Dental Group, we are committed to providing exceptional care to our patients and fostering a supportive, dynamic environment for our team. As a growing patient-centered dental private practice, we are seeking an experienced and motivated Practice Manager to oversee the day-to-day operations, enhance patient experiences, and drive the success of our practice.
Our growing practice currently includes 1 general dentist and 1 part-time periodontist. We are excited to expand our team and will be adding another general dentist in the near future, making this a dynamic opportunity to be part of a collaborative and evolving multi-provider and multispecialty practice.
Our practice is open Monday- Friday 8-5pm
Position Overview:
The Practice Manager is a critical leadership role responsible for ensuring the efficient operation of the office, managing a high-performing team, and maintaining the highest level of patient satisfaction. This role requires strong organizational skills, a proactive mindset, and the ability to work collaboratively with the clinical team and leadership to meet the practice’s goals.
Key Responsibilities:
Operational Management
- Ensure smooth day-to-day office operations by resolving workflow bottlenecks and optimizing patient flow.
- Oversee accurate posting of patient charges, payments, and adjustments in the practice management system (PMS).
- Ensure end-of-day balancing, reconciling collections with PMS reports, and resolving posting errors promptly.
- Collaborate with team members to ensure the accuracy of insurance claims and payments.
Patient Experience
- Deliver exceptional customer service and professionally address patient concerns or complaints.
- Develop patient retention strategies and manage communication initiatives.
- Monitor and enhance the practice’s reputation through patient feedback and
online reviews.
Team Leadership
- Manage recruitment, onboarding, training, and performance evaluations for team members.
- Create and maintain staff schedules to ensure adequate coverage.
- Oversee payroll, time tracking, and resolve team conflicts to foster a positive
work environment.
Financial Oversight
- Monitor office budgets, control expenses, and oversee payroll processing.
- Analyze production, collections, and KPIs, presenting reports to measure
growth and efficiency.
- Manage billing, collections, insurance claims, and accounts receivable
processes.
Compliance & Technology
- Ensure regulatory compliance with HIPAA, OSHA, and other state/federal
requirements.
- Maintain accurate documentation and oversee infection control and safety
protocols.
- Manage IT and equipment issues, train staff on new systems, and monitor
inventory levels.
Strategic Collaboration
- Assist with insurance contracts, credentialing, and negotiating supplier
agreements.
- Collaborate with leadership on branding, marketing, and patient acquisition
efforts.
- Lead efforts to expand services and integrate new specialties into the
practice.
Qualifications:
- Proven experience managing a multi-doctor group practice or multi-specialty dental office.
- Strong leadership skills with the ability to support a growing team and dynamic practice environment.
- Exceptional organizational, communication, and problem-solving abilities.
- Proficiency in dental practice management software and financial reporting.
- Knowledge of insurance processing, billing, and regulatory compliance.
