GENERAL JOB SUMMARY:
The Administrative Assistant provides administrative support to the offices of Student Services and Academic Affairs, as well as the Director, Pierpont Academy and Transition Education. The administrative assistant is responsible for support and the detailed implementation for several academic operations that directly impact students and the educational operations. The administrative assistant must use their judgment on how to balance the workload needs of several operations while providing accurate data and excellent service.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Assists Associate VP and Student Services directors by receiving and replying to communications; providing general administrative support
- Assists with orientation, registration, and other college events as needed
- Handles preparations, scheduling, logistics, and other requirements related to domestic and international professional travel
- Processes financial documents including contracts, expense reports, invoices, state P-card reconciliation, etc.
- Prepares requisitions as required by Associate VP and Student Services team members
- Orders supplies and routes mail and deliveries as needed.
- Handles preparations, scheduling, logistics, and other various requirements for domestic and international travel.
- Prepares requisitions needed by administrators.
- Organizes meetings and events.
- Works with and maintains data management and filing for projects and departments.
- Serves as an administrator of work product with other programs and departments by providing communication, written and oral.
- Assists with institutional activities as needed.
- Provides administrative support as needed.
- Performs other job-related duties as required.
- Strictly adheres to Family Education Rights and Privacy Act (FERPA) standards.
MINIMUM QUALIFICATION, EDUCATION, and/or EXPERIENCE:
Associate’s, vocational, or technical school degree and at least one year of administrative support experience. When there is no degree, three (3) years of experience in a highly skilled administrative setting is acceptable.
PHYSICAL REQUIREMENTS:
Work requires some physical effort. Lifting or performing work requiring physical exertion (up to 40 pounds) is intermittent and secondary to the job. The job requires sitting for long periods of time, with an occasional need to stoop, kneel or crouch; occasional need to work in confine spaces and unusual positions to perform the task of emergency care and rescue. Work is performed under basically normal working conditions as in a standard office environment.
