We seek a dedicated Assistant Registrar to join our team at Pillar College. The Assistant Registrar is a key team member who will contribute to the Registrar’s Office by maintaining the accuracy and confidentiality of student records. This position is also responsible for student registration, advising processes, and coordinating academic services such as graduation, convocation, and new student orientation. The individual will work in an assistant director role under the supervision of the Registrar.
Requirements : WORK PERFORMED :
Responsibilities (may not include all duties assigned)
- Process and maintain student academic records, ensuring complete submission of all requirements for matriculation
- Enters transfer credits into CampusVue system and maintains up-to-date student degree progress audits.
- Oversees student registration process.
- Periodic evaluation of satisfactory student academic progress
- Maintain reports on students with Dean’s & President’s list honors as well as those on academic probation, sending appropriate correspondence for each.
- Supports the faculty in the area of academic advising, tracking and monitoring student progress
- Assists faculty regarding academic policies in order to assure implementation that supports integrity of learning and academic records.
- Participates as assigned on committees, at orientation, and collaborates with staff and faculty to assure coordinated student services.
- Produce registration materials, email communications, etc.
- Oversees scheduling of classrooms at the Somerset locations
- Processes requests for official academic transcripts.
- Notifying faculty of approved accommodations for students with documented disabilities
- Assist the Registrar with special projects as needed
- Transcript Evaluations
- Processes academic forms : Academic Petition Forms, Withdrawal Forms, Grade Change Forms, Transcript Request Forms, FERPA Forms, Student Information Change Forms, Incomplete Grade Request Forms
- Builds T-9, T-15, Online, LEAD, BLEND, and MAC course schedules in CampusVue.
- Oversees automatic registration of LEAD and MAC students for next terms.
- Enters grades from Atheneo into CampusVue.
- Oversees scanning of all registration forms and academic forms to the M : drive and in CampusVue.
- Sets up new student accounts in Atheneo. Provides support for resetting passwords.
- Handles class cancellations. Contacts students to let them know their class has been cancelled. Assists with another class selection.
QUALIFICATIONS : Experience :
Experience with Microsoft Office.
High ethical and professional standards.
Ability to handle confidential and sensitive information.
Strong commitment to student-oriented service.
Education :
Bachelor’s degree preferred.

PHYSICAL DEMANDS :
85% of the time is spent sitting at desk using the computer and phone primarily at Newark main campus. Periodic travel to Somerset campus
