As our Purchasing/Administrative Assistant, you'll be responsible for ensuring the seamless procurement of all project-related items. This involves collaborating with our design team, bookkeeper, and external vendors to uphold top-notch quality, ensure timely delivery, and facilitate smooth installations. Beyond procurement, you'll also oversee office organization and manage samples, contributing to the overall efficiency and success of our operations. Responsibilities & Duties
- Efficiently monitor and oversee all aspects of purchase order tracking and management.
- Initiate and complete returns/replacements promptly
- Conduct product reviews for quality control; when necessary, communicate with vendors to address damages.
- Inspect deliveries as required, capturing photos and coordinating with vendors when necessary.
- Generate weekly purchasing reports for each active project.
- Assist in coordinating with receivers, contractors, subcontractors, and other relevant parties.
- Lead inventory management efforts, ensuring timely updates at both office locations on a monthly basis.
- Accurately enter accounts payable for operational and purchasing payments.
- Manage and facilitate vendor contracts efficiently.
- Run reports and provide support for client invoicing.
- Oversee executive support functions, including handling errands, managing travel arrangements, and efficiently organizing calendar schedules.
- Maintain office organization and file library samples systematically.
- Manage and replenish office groceries and supplies as needed.
- Travel to Irvington, VA weekly to organize and receive samples.
Qualifications & Skills
- Microsoft Office Suite
- Mac utilization
- Zoom, Slack , Design Manager, InDesign & Dropbox experience useful, but not required
- Excellent verbal & written communication skills
- Problem solver with analytical, detail oriented and organizational skills
- Work independently as well as in a team environment.
Working Conditions
- This position will temporary.
- Located in Richmond, VA
- Must have reliable vehicle to travel to project sites
- Must feel comfortable working interactively with teammates and industry partners of our three offices located in Virginia and Alabama
Physical Requirements
- Ability to sit or stand for extended periods while working at a computer or attending meetings.
- Occasional lifting and carrying of materials up to 25 pounds.
- Ability to move around the office and studio spaces, including managing materials in the materials library.
- Capability to travel locally for meetings with referral partners (builders, architects, realtors) and to attend events.
- Manual dexterity for typing, document handling, and using office equipment.
- Visual and auditory ability to perform essential job functions, including reading documents and communicating effectively.
