What are the responsibilities and job description for the Bilingual Behavioral Health Scheduler position at Pillars Community Health?
** This is a temporary position with the potential to become a regular full-time position. Having a dedicated Scheduler to enhance our workflows and scheduling processes for our clients is being piloted for our Behavioral Health programs, and we'll be evaluating the impact of the role over the next 90 days. **
SUMMARY
The Behavioral Health Scheduler is responsible for coordination of direct service staff schedules in the Electronic Health Record, and scheduling access to care for clients of Pillars Community Health.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Maintains the schedules of the behavioral health direct service staff in the Electronic Health Record, including maintaining the blocks of time for clinical and administrative time. Updates schedules in the system as staff availability changes.
- Schedules appointments for clients of Pillars Community Health.
- Provides outreach to people seeking behavioral health services; explains assessment process, including information on consents, items to bring in, and what to expect during the initial appointment.
- Maintains call list, documents number of outreach attempts and follows department procedures for engagement and discharge based on call response.
- Facilitates electronic communication and initial consents with new clients using Adobe Sign and other technologies.
- Provides clear and professional communication and excellent customer service.
- Works closely with the Director of Open Access and the Director of Mental Health Services to navigate clients into services.
- Cancels and/or reschedules BH direct service staff absensces, assists with permanent schedule changes, or changes to appointment details.
- Follows up with clients who missed their appointment to reschedule or facilitate discharge from services.
- Monitors schedules for accuracy, cancellations, and back fill openings.
- Documents client communication in the electronic health record and other sources as required.
- Maintains confidentiality; adheres to HIPAA regulations and mental health/substance use disorder treatment confidentiality laws.

EDUCATION AND EXPERIENCE
High School Diploma or GED required.
3-5 years of experience required where one has worked in a centralized healthcare scheduling system, where the primary responsibility is to maintain staff schedules, schedule appointments for healthcare professionals, and follow up with patients/clients.
LANGUAGE:
Bilingual in Spanish and English required.

SCHEDULE:
This is a hybrid position. The position requires 3 days on-site at the office each week in Berwyn, IL. Additional on-site hours as needed.
Weekly Schedule: Tuesdays-Fridays: 9:30-7; Saturdays: 9am-1pm.
On-site work days:
Tuesday, Wednesday, and Thursday
Remote optional days:
Friday and Saturday
