Job Description:
We are looking for a detail-oriented, proactive, and professional File Clerk with at least 2 years of file clerk experience. Legal experience is preferred but not required. The ideal candidate will have strong organizational skills, a can-do attitude, and a willingness to assist across various administrative tasks to support our attorneys and paralegals. This is an in-office position, and candidates must be available to work 5 days a week at our office location.
Key Responsibilities:
- File Management: Pick up, organize, and pull files for the calendar department, attorneys, and paralegals. Ensure all documents are accurately sorted, labeled, and properly filed in physical and digital systems.
- E-Filing into ProLaw: Assist in preparing and e-filing documents into the ProLaw system. Ensure that filings are complete, accurate, and compliant with court requirements, including metadata and document organization.
- Mail and Document Handling: Sort, stamp, and deliver daily incoming and outgoing mail. Assist with scanning, copying, and faxing important documents as needed.
- Reception Support: Provide backup reception phone duties during breaks or vacations, offering excellent service and handling inquiries in a professional manner.
- Physical Tasks: The position requires the ability to lift, carry, pull, and push up to 100 lbs as part of the regular file management process.
- General Administrative Support: Assist with other clerical duties as required to support the daily functioning of the office.
Qualifications:
- Experience: 2 years of experience in a file clerk or administrative role (legal experience is a plus).
- E-Filing Knowledge: Familiarity with the e-filing process, particularly using ProLaw or similar legal document management systems, is a plus.
- Physical Requirements: Ability to stand for extended periods and lift up to 100 lbs.
- Skills: Excellent organizational, multitasking, and communication skills. Strong attention to detail and ability to follow instructions.
- Professionalism: Must maintain a professional demeanor and proactively assist with daily office needs.
- Work Ethic: Dependable, reliable, and committed to contributing to the overall success of the firm.
