Primary Purpose:
To provide administrative support to the Athletic Department and manage daily attendance records for Pilot Point High School. This position plays a vital role in ensuring efficient communication, accurate documentation, and smooth daily operations for athletics and student attendance.
Qualifications:
• High school diploma or GED required
• Experience in secretarial or clerical work (school or athletic office preferred)
• Proficient in Microsoft Office and Google Workspace
• Strong organizational, communication, and multitasking skills
• Knowledge of or willingness to learn attendance systems (e.g., Skyward)
• Ability to work independently and handle confidential information responsibly
Responsibilities:
Athletics Secretary Duties:
• Support the Athletic Director with scheduling, communication, and calendar management
• Coordinate travel arrangements, game schedules, and officials for athletic events
• Maintain athletic eligibility records and assist with UIL compliance documentation
• Assist coaches with forms, rosters, and student-athlete paperwork
• Communicate with parents, students, and staff regarding athletic-related matters
• Process purchase orders and maintain athletic department budget records
• Assist in planning athletic banquets, award nights, and special events
• Serve as a liaison between the athletic department and campus/district staff
Attendance Clerk Duties:
• Monitor daily student attendance and input data into the district’s student information system
• Communicate with parents and guardians regarding student absences
• Generate and distribute attendance reports as required by administrators and PEIMS
• Prepare documentation for truancy prevention and parent meetings
• Ensure timely and accurate submission of attendance records
• Support front office operations and assist with phone calls and visitors as needed
