A high school diploma or equivalent GED certificate and four years of administrative/clerical experience and/or data entry experience in a professional office environment. Preference may be given to those with administrative work experience that involved the preparation and processing of legal documents or providing clerical support in a court position or legal office environment.
Additional Responsibilities/Duties
Must have a valid Arizona driver’s license at the time of appointment.

Typically performs duties in an office environment and may lift materials and/or equipment 20 lbs or less.

This is a classified position and reports to the Court Reporter Manager. The incumbent performs duties under limited supervision.

- Serves as the liaison for the court reporters’ office by phone and in-person customer assistance and responds to inquiries and resolves problems and/or complaints.
- Must be able to multitask, work under deadlines, problem-solve, and work independently.
- Assists coordinating and monitoring the daily and weekly court reporter and per diem court reporter assignments.
- Monitors and fulfills requests for digital recordings and/or transcripts.
- Assists in coordinating the production of transcripts from digitally recorded hearings with an external transcription service.
- Responds to court staff, attorneys, and others who inquire on the status of specific case transcripts.
- Answers questions from judges, the legal community, court management, and employees about audio/transcript requests via For the Record (FTR) or directly from a court reporter.
- Maintains office equipment and supplies for the office and court reporters.

- Additional duties and responsibilities may be assigned as needed by the Court Reporter Manager. Those may encompass providing assistance and coverage with any Manager’s functions or duties.
- Must have knowledge of general office procedures in a professional office environment and knowledge of legal documents.
- Must have a familiarity with a court structure and court operations.
- Must have a general knowledge of legal procedures, practices, and terminology.
- Must have a good knowledge of business English, the skills to employ grammar, punctuation, and spelling in written documents.
- Must have clerical skills including proofreading and data entry, typing and editing documents, forms, correspondence and filing.
- Must have the skills to set priorities in processing of daily work schedule.
- Must have the skills to use office equipment including desktop computer with Microsoft Office and other software (Word, Outlook, Excel, Adobe Acrobat), fax, scanner, CD burner, copier, and calculator.
- Must have the decision-making skills to prioritize and complete assigned tasks in a flexible, efficient and accurate manner.
- Must have the ability to exercise independent judgment in making decisions and demonstrate tact and diplomacy when representing the court reporters’ office and the court to the legal community, the public, and other court staff.
- Must have excellent customer service skills and the ability to communicate effectively with judges, judicial officers, court staff, attorneys, related county departments, community agencies, and the public.
