The Fleet Services Service Advisor/Writer I performs essential tasks in the management and coordination of service and repair activities for County vehicles. This role involves creating and managing repair and maintenance work orders, conducting quality control checks, and interfacing directly with customers to address their vehicle needs. The Service Advisor/Writer I is also responsible for ordering, receiving, and issuing automotive parts and supplies, as well as performing minor repairs and maintenance on vehicles.

  • Develops and manages repair and maintenance work orders for fleet vehicles;

  • Conducts quality control checks on completed work to ensure standards are maintained;

  • Interacts with customers to address vehicle issues, provide updates, and resolve concerns;

  • Orders and maintains inventory of automotive parts and supplies as needed for repairs;

  • Receives and issues parts and supplies, ensuring proper documentation and inventory control;

  • Reserves, dispatches, and manages motor pool vehicles to meet operational needs;

  • Performs minor repairs and maintenance tasks on vehicles as required;

  • Keeps accurate records of service activities, parts usage, and vehicle maintenance;

  • Communicates repair needs and status with automotive technicians to ensure timely completion of work;

  • Schedules regular maintenance and inspections for fleet vehicles to ensure operational readiness;

  • Prepares cost estimates for repairs and maintenance based on initial diagnostics;

  • Oversees the management of fuel supplies, including ordering and inventory tracking;

  • Ensures compliance with safety procedures and regulations during all service and repair activities;

  • Performs administrative tasks such as preparing reports and maintaining service documentation.

Minimum Qualifications :


High School Diploma or General Education Development (GED) certificate AND three years of experience in a relevant automotive or fleet management environment as determined by the department head at the time of recruitment, which may include ordering, receiving and issuing parts, reserving, dispatching and maintaining motor pool vehicles in an automotive rental environment; working in an automotive service writer environment which includes creating repair and maintenance work orders, quality control of completed work, performing minor repair and maintenance on vehicles and direct customer interface; or working in a fuel management environment.

Preferred Qualifications : (Be specific in describing your experience in your application. Ensure the descriptions provided illustrate your competencies, specifically addressing the required and preferred qualifications.):

  • Minimum three (3) years of experience within the last five (5) years in a Service Writer role, including creating repair and maintenance work orders, ensuring quality control of completed work, and performing minor repairs and maintenance on vehicles.

  • Experience with/knowledge of reserving, dispatching, and managing motor pool vehicles in an automotive rental setting.

  • Experience with/knowledge of fleet maintenance or repair.

  • Experience in a customer service environment, performing in-person, phone, and email communications.

  • Experience with/knowledge of scheduling appointments, tracking work orders, and updating calendars and spreadsheets.

  • Experience with/knowledge of using various software applications, including a fleet management system, Excel, Word, and Outlook.

Selection Procedure :
Pima County Human Resources Department reserves the right to admit to the selection process only those candidates that meet the minimum/desired qualifications. All applications will be assessed based on an evaluation of the listed education and experience. Candidates meeting the minimum/desired qualifications may be further evaluated/scored against any advertised Preferred Qualifications. The hiring authority will interview and select the successful candidate from a referral list provided by Human Resources. Additional assessments/testing may be required as part of the selection process.

Licenses and Certificates : Valid driver license is required at time of application. Valid AZ driver license is required at time of appointment. The successful applicant will be subject to a 39-month DOT Motor Vehicle Record review to determine applicant’s suitability to operate county vehicles in accordance with Pima County administrative procedures. Failure to obtain and maintain the required licenses and certifications shall be grounds for termination. Any offer of employment resulting from this recruitment is contingent upon Fleet Services’ review and approval of the candidate’s driving record.

Special Notice Items : The County requires pre-employment background checks. Successful candidates will receive a post-offer, pre-employment background screening to include verification of work history, education, and criminal conviction history. A prior criminal conviction will not automatically disqualify a candidate from employment with the County. Some positions may require satisfactory completion of a personal background investigation by the court or law enforcement agencies, due to the need for access to County Attorney and Court facilities, records, and communication systems.

Physical/Sensory Requirements : Ability to lift and carry up to seventy-five pounds. Safely operate assigned vehicles and other powered equipment. Work in extremes of heat, humidity, dust, cold. Safely wear required safety clothing and equipment. Work with or in the presence of obnoxious odors. Work with noxious or potentially hazardous chemicals, compounds or products. Ascend and descend ladders and stairs to reach and work upon elevated or below-grade work platforms and job sites. Differentiate between colors.

Working Conditions: Working conditions will be determined by the position.
