As a Veterinary Receptionist, you will be the first point of contact for our clients, both in-person and over the phone. Your primary responsibilities will include managing client communications, scheduling appointments, handling payments, and providing administrative support to the veterinary team.
Key Responsibilities:
- Greet clients and their pets warmly, creating a welcoming atmosphere in the clinic.
- Answer incoming calls, manage multiple phone lines, and respond to client inquiries with accurate information.
- Schedule appointments, manage the appointment calendar, and confirm upcoming appointments.
- Check-in and check-out patients, ensuring all necessary paperwork is completed.
- Process payments, issue receipts, and handle any billing inquiries.
- Maintain client and patient records, ensuring all information is up-to-date and entered accurately into the practice management software.
- Provide clients with information about services, products, and aftercare instructions.
- Assist with the coordination of patient flow to ensure smooth operation of the clinic.
- Perform general office duties such as filing, faxing, emailing, and managing office supplies.
- Collaborate with the veterinary team to ensure the highest quality of care is provided to all patients.
- Assist in maintaining the cleanliness and organization of the reception area.
- Handle client concerns or complaints in a professional manner, escalating issues to management when necessary.
- Adhere to all clinic policies, procedures, and safety protocols.
The Veterinary Receptionist position requires availability during the following hours:
- Monday to Friday: 8:00 AM to 5:00 PM
- Saturday Rotation: Every third Saturday from 8:00 AM to 12:00 PM
Compensation:
- Hourly Wage: $18 per hour worked
- Average of 35-40 hours per week with flexible scheduling options.
- Typical scheduling includes four 9.5 hour shifts during the week.
Flexibility is essential, as the schedule may vary slightly based on clinic needs. Candidates must be available for occasional additional hours to cover for team members or during busy periods.
