What are the responsibilities and job description for the Membership Administrative Coordinator-Pinehurst Country Club-Full Time position at Pinehurst Resort?
SUMMARY
The primary purpose of this position is to assist Members, realtors, attorneys and the Membership Office with billing and membership information. The role should be able to assist members and prospective members with membership information and changes to their membership. Process times should be as timely as possible.
EDUCATION and / or EXPERIENCE :
High school diploma or general education degree (GED); or one to three months related experience and / or training; or equivalent combination of education and experience.
ESSENTIAL DUTIES AND RESPONSIBILITIES :
- Responsible for updating Member records with changes and updates
- Answer calls to assist Members with general membership questions or connect them with the appropriate department
- Schedule appointments, take member photos and issue membership cards
- Request and collect required paperwork for changes in membership
- Take reservations for new member orientation sessions
- Prepare new member materials for orientations and receptions to include member information packets, gift bags, and nametags
- File member applications, change of status forms, and other membership related documents in DataMagine
- Order weekly supplies for office
- Process invoices weekly, batch and submit to Accounts Payable
- Assist with sorting and stuffing statements each month
- Assist with entering member payments
- Because of the fluctuating demands of the company's operation, it may be necessary that each Employee perform a multitude of different functions; therefore, as an essential part of your position, you will be expected to help others when the occasion arises, just as other Employees are expected to help you. Accordingly, you may be expected to perform other tasks as needed or as directed.
PHYSICAL DEMANDS :
While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel; reach with hands and arms; climb or balance; stoop, kneel, crouch, or crawl; and talk or hear. The employee must occasionally lift and / or move up to 25 pounds. Specific vision abilities required by this job include close vision.
WORK ENVIRONMENT :
While performing the duties of this job, the employee is frequently exposed to moving mechanical parts and fumes or airborne particles. The employee is occasionally exposed to wet and / or humid conditions and risk of electrical shock. The noise level in the work environment is usually moderate.
