Core ResponsibilitiesBusiness Operations
- Manage office operations and coordinate with various stakeholders
- Handle document management and maintain organized filing systems
- Process invoices, manage accounts, and coordinate with accounting
- Assist with real estate and infrastructure investment documentation
- Coordinate with international teams and stakeholders
Executive Support
- Provide high-level support to C-level executives
- Manage calendars and travel arrangements
- Coordinate private aviation logistics and track expenses
- Handle sensitive family office matters with discretion
- Act as a key liaison between executives and various stakeholders
Administrative Excellence
- Maintain impeccable records and organizational systems
- Coordinate meetings and prepare comprehensive documentation
- Manage vendor relationships and office resources
- Handle correspondence and conversations professionally
- Assist with special projects as needed
Required Skills & Experience
- Exceptional organizational and multitasking abilities
- Proficiency in Microsoft Office Suite (Excel) and Google Workspace
- Basic experience with Quickbooks
- Strong written and verbal communication skills
- Previous experience in executive support or office management preferred
- Bilingual in English and Spanish (written and verbal) preferred, not required
- Knowledge of aviation operations and/or family office management is a plus
