Position Summary:
The HR Generalist plays a crucial role in managing and overseeing Leave of Absence (LOA) administration, serving as the primary point of contact for employees and client companies navigating medical, family, and disability-related leave. This role ensures compliance with federal, state, and company-specific leave policies while providing exceptional service and support to employees throughout their leave process.
Beyond leave administration, the HR Generalist functions as a key HR Business Partner, supporting client companies and their employees with HR guidance, benefits assistance, and compliance matters. This position requires a strong knowledge of employment laws, benefits programs, and HR best practices to ensure seamless service delivery.
Essential Duties & Responsibilities:
Leave of Absence (LOA) Administration:
- Serve as the primary resource for client companies and employees regarding FMLA, ADA, Paid Family Leave (PFL), short-term disability (STD), long-term disability (LTD), workers’ compensation, and personal leaves.
- Manage all aspects of the leave process, including eligibility determination, documentation, tracking, return-to-work coordination, and compliance monitoring.
- Provide employees and employers with clear guidance on their leave rights and responsibilities.
- Collaborate with payroll and benefits teams to ensure accurate processing of leave-related pay, benefits continuation, and deductions.
- Maintain confidential and organized records of leave cases, ensuring proper documentation and compliance with all applicable laws.
- Stay current on evolving leave laws and regulations, proactively advising client companies on best practices and policy updates.
- Work closely with client companies to develop and refine leave policies that align with business needs while remaining compliant with legal requirements.
HR Generalist & Employee Relations:
- Act as a trusted HR advisor, assisting employees and client companies with HR-related questions, concerns, and escalations.
- Interpret and apply company policies, employment laws, and wage & hour regulations to ensure compliance.
- Support employees and employers with workplace accommodations in accordance with ADA and FMLA guidelines.
- Conduct and support workplace investigations related to sexual harassment, discrimination, and other HR concerns.
- Assist client companies with workers’ compensation claims, ensuring proper documentation and communication.
- Coordinate and conduct mandatory trainings such as sexual harassment prevention and workplace compliance.
Benefits & Payroll Support:
- Educate employees on available benefits, including health insurance, disability coverage, and retirement plans.
- Assist employees with benefits enrollment, payroll deductions, and claims resolution.
- Process and provide paystubs, W-2s, and employment verification documents as requested.
- Work closely with payroll teams to ensure seamless integration of leave-related pay adjustments.
Compliance & Documentation:
- Ensure federal, state, and local compliance for all client companies by maintaining accurate HR and leave-related documentation.
- Maintain up-to-date knowledge of FMLA, ADA, EEOC, and wage & hour laws across multiple states.
- Update and distribute required legal postings at client company locations.
Client & Employee Engagement:
- Conduct on-site client visits (minimum of ten per week) to foster strong business relationships.
- Deliver HR materials such as applications, tax forms, and compliance documents as needed.
- Attend HR conferences and industry events to stay informed on best practices and trends.
Job Requirements & Qualifications:
Education:
- High School Diploma or equivalent required
- Associate’s or Bachelor’s degree in Human Resources, Business Administration, or a related field preferred.
- SHRM-CP/SHRM-SCP, PHR, or leave administration certifications are a plus.
Experience:
- 2 years of experience in Human Resources
- 1 year of Leave of Absence Administration experience
- Knowledge of FMLA, ADA, PFL, disability benefits, and workers' compensation processes.
- Experience in a PEO or HR outsourcing environment is a plus.
Skills & Competencies:
- Deep understanding of leave laws and HR compliance.
- Strong written and verbal communication skills.
- Ability to handle sensitive and confidential information with professionalism.
- Proficiency in HRIS systems, payroll platforms, and Microsoft Office Suite.
- Ability to multitask in a fast-paced environment while ensuring accuracy and compliance.

Pay: $25.00 - $30.00 per hour
