Position Summary
The Cosmetic Coordinator plays a crucial role in guiding prospective cosmetic patients from initial inquiry through consultation and scheduling of procedures. This individual serves as the primary contact for cosmetic inquiries, responsible for ensuring a seamless patient experience, effective communication, meticulous organization, and strong follow-through to maximize patient satisfaction and conversion rates.
Key Responsibilities
1. Patient Engagement & Scheduling:
- Respond promptly and professionally to cosmetic inquiries (phone calls, emails, online leads).
- Schedule and confirm consultations, ensuring all relevant patient information is collected.
- Provide pre-consultation information to patients, clearly outlining expectations and procedures.
2. Consultation Management:
- Meet and greet patients on consultation day, ensuring they have an exceptional experience.
- Assist providers during consultations by taking notes, answering patient questions, and preparing quotes.
- Accurately document patient preferences, questions, and follow-up needs.
3. Follow-Up & Conversion:
- Proactively manage and track patient leads in a patient management system.
- Conduct timely follow-up calls or emails to address patient questions and facilitate scheduling.
- Ensure smooth hand-off of scheduled patients to clinical and surgical teams.
4. Administrative Duties:
- Maintain organized records of consultations, patient communications, and scheduled procedures.
- Prepare and deliver detailed patient quotes and financing information clearly and promptly.
- Collaborate with the marketing team on promotional initiatives, special events, and patient education.
5. Sales & Patient Education:
- Clearly communicate procedure options, pricing, financing, and expected outcomes to prospective patients.
- Cross-promote additional services (dermatology, medical spa treatments, skincare products) when appropriate.
- Provide exceptional customer service and represent the practice’s brand positively at all times.
Qualifications & Skills
- 2 years experience in a sales-oriented, customer-facing, or patient-coordinator role (medical aesthetics or plastic surgery experience preferred).
- Strong organizational skills, meticulous attention to detail, and exceptional follow-through capabilities.
- Excellent communication and interpersonal skills, both in-person and over the phone.
- Comfort discussing cosmetic procedures, pricing, and financing options.
- Proficiency in using CRM software, scheduling tools, and basic office technology.
- Professional appearance and demeanor.
