Job Title: Onboarding/Credentialing Coordinator
Reports To: Director, Strategic Transformation Last Updated: January 2025
General Summary:
The Onboarding/Credentialing Coordinator assists in managing the entire onboarding/ credentialing processes for new clinical/non-clinical staff members within the organization. Coordinating credentialing documentation, orientation, and communication with various departments. The Onboarding/Credentialing Coordinator provides the administrative support and coordination needs of the organization, including annual reviews and license/certification renewals.
Essential Duties and Responsibilities:
- Leads, coordinates, and works with the clinicians to complete their applications, credentialing documents, and all documentation needed to successfully complete their credentialing/ privileging processes.
- Identifies issues that require additional investigation and evaluation, validates discrepancies, and ensures appropriate follow-up.
- Prepares credentials file for completion within the set time periods.
- Responds to inquiries and interface with internal and external partners on day-to-day credentialing and privileging issues as they arise.
- Utilizes credentialing database, optimizing efficiency, and reports on the process timelines and deliverables.
- Monitors the initial and reappointment processes for all clinical staff.
- Ensures timely completion of assigned tasks.
- Communicates approval of credentialing, privileging, and practice agreements to clinical staff and leadership.
- Assists with maintaining internal clinical and non-clinical files obtaining current/updated copies of essential documents, loading/scanning all documents, and updating shared databases.
- Participates in weekly Credentialing Meetings to assist with the preparation of files and information to be presented to the Medical Staff committees for approval.
- Participates in team meetings to assist and help implement ways to continually improve the processes.
- Assists in identifying, correcting, and communicating issues with individual or group files, processes, and programs.
- Coordinates and assists with the new hire orientation, ensuring that photographer is scheduled, photos are received, internal email is created, lab coats and business cards are ordered and received timely, updating appropriate checklists and databases, reviewing documentation for completion, and uploaded into appropriate files.
- Coordinates annual evaluations, including tracking license and certification renewals.
- Assists the Leadership team with administrative support as needed.
- Performs all additional job-related duties as assigned.

- Smartsheets preferred

Education/Vocational/Previous Experience Recommendations
- Bachelor’s Degree preferred or equivalent experience in healthcare environment.
- 3-5 years of applicable experience in administrative healthcare/credentialing setting.
Salary/Working Conditions:
- Salary Range $60,000 $70,000 a year
- No or very limited exposure to physical risk.
- No or very limited physical effort is required.
- Work is normally performed in both an in-office and remote work environment. May require travel to clinic/hospital locations.
